Position Overview
Harmony House is looking for a detail-oriented Data & Administrative Support person to join us on a temporary contract. In this role, you will help strengthen the accuracy, consistency, and usability of key operational databases, including case management, donor stewardship, volunteer scheduling, and Link2Feed food bank records. You will work with staff to support reliable data management and related administrative processes.
Key Responsibilities
Donor Database
· Identify and resolve duplicate donor records to improve data accuracy.
· Clean and standardize donor information, including names, addresses, and contact details.
· Review and update donor coding, segmentation, communication preferences, notes, and contact history.
· Review gift entry and donor records for accuracy and completeness.
· Conduct limited donor outreach, as needed, to verify contact information.
· Prepare clean donor lists to support campaigns, stewardship, and reporting.
· Create a simple internal data-entry guide to support consistent staff use.
Volunteer Database
· Set up a clear process for recording volunteer information, including hours worked.
· Coordinate volunteer assignments for programming needs, including support for the bi-weekly food bank.
Case Management Software
· Support the transition to a new case management database.
· Create a simple internal guide to help staff use the system consistently.
General Duties
· Order food for the bi-weekly food bank.
· Schedule volunteers as needed to support program delivery.
· Record food bank information accurately in the Link2Feed database.
Qualifications
· Strong knowledge of database functionality.
· Hands-on experience with DonorPerfect.
· Strong attention to detail and commitment to data accuracy.
· Understanding of nonprofit fundraising, donor stewardship practices, and client case management needs.
· Ability to work independently and manage priorities.
