Full job description

We are seeking an experienced Administrative Assistant to join an established company based in Port Moody. This is a full-time, contract opportunity to cover a sick leave & vacation, with a large shipping company.

The coverage starts ASAP with training provided, and is estimated to run until Early August or until the end of September - To Be Confirmed.

Qualifications & Experience:

Minimum 5+ years of administrative experience within a professional office environment (logistics or shipping industry experience is an asset)
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience working with in-house or ERP software systems
Demonstrated experience handling accounts payable and receivable processes
Previous experience processing payroll, ideally on a weekly cycle
Strong communication skills with the ability to manage incoming calls and front-desk responsibilities
Excellent organizational and time-management skills with the ability to multitask and meet deadlines
High attention to detail and accuracy in data entry and financial tasks
References and a background screening will be conducted for candidates moving forward in consideration

Role Responsibilities:

Manage incoming calls and perform receptionist duties, acting as the first point of contact for clients and visitors
Process accounts payable and receivable transactions using in-house software systems
Complete weekly payroll processing for ranging # of unionized employees
Coordinate and schedule meetings, appointments, and company events across departments
Plan and organize business lunches and internal team functions
Provide general administrative support, including filing, data entry, and document management
Collaborate closely with the accounting, operations, and leadership teams

What’s Offered:

Full-Time, contract opportunity
Location: Port Moody
Working days: Monday to Friday
Working hours: 8:00am - 4:30pm
Hourly rate: $27–$30 per hour, commensurate with experience
Starts ASAP!
