Duties
- Provide comprehensive administrative support to senior real estate professionals, including calendar management, appointment scheduling, and document preparation.
- Manage client communications promptly and professionally via phone, email, and in person to ensure exceptional customer service experiences.
- Develop and implement marketing strategies for property listings, including social media promotion, email campaigns, and open house coordination.
- Negotiate offers and contracts on behalf of clients, ensuring favorable terms while maintaining transparency throughout the process.
- Maintain detailed records of transactions, client interactions, and property details to ensure accuracy and compliance.
- Support multilingual clients by providing translation services or bilingual communication when necessary to enhance client satisfaction.
Qualifications
- Proven experience in administrative roles within real estate or property management environments.
- Strong communication skills with the ability to negotiate effectively and build lasting client relationships.
- Familiarity with marketing techniques specific to real estate sales and property promotion.

Compensation & Earning Potential
Expected total compensation:
$60,000–$120,000+ annually
Compensation consists of:
- Competitive base salary
- Quarterly performance bonuses
- Commission splits on team-provided clients personally handled by you
- Commission splits on self-generated clients

A strong performer who actively participates in prospecting, buyer representation and sales should have the opportunity to earn materially above the base salary.

What the Role Looks Like
The position is intended to be approximately:
35–40% Executive & Administrative Coordination
You will help keep the business organized and moving efficiently, but you will also have virtual administrative support.
Responsibilities may include:
- Managing the principal agent’s calendar, appointments and important follow-ups
- Coordinating listing and transaction administration
- Monitoring important emails and deadlines
- Managing and delegating tasks to the virtual assistant
- Reviewing the VA’s work for accuracy and completion
- Coordinating photographers, designers, inspectors, lawyers, notaries and other service providers
- Helping ensure important tasks and client commitments do not fall through the cracks
You are expected to manage the workflow, not personally perform every low-value administrative task.
20–25% Listing & Transaction Coordination
- Prepare listing agreements, Contracts of Purchase and Sale, amendments and addenda
- Coordinate DocuSign and electronic signatures
- Upload and maintain MLS listings
- Coordinate showings, inspections, photography and appraisals
- Track subjects, deposits, completion and possession dates
- Communicate with lawyers, notaries, mortgage brokers and cooperating agents
- Help manage transactions from listing or accepted offer through completion
20–25% Sales & Client Representation
This is where the role becomes particularly exciting.
Depending on your experience and performance, you will have opportunities to:
- Work directly with team-provided buyers
- Conduct buyer consultations
- Research and shortlist properties
- Conduct property tours and showings
- Write and negotiate offers
- Assist with listing appointments
- Co-list properties with the team principal
- Help service seller clients
- Conduct open houses
- Take clients through completion and possession
- Build long-term client relationships

15–20% Prospecting & Business Development
You will have dedicated opportunities to generate additional income through:
- Past-client follow-up
- CRM/database prospecting
- Warm calling
- Cold calling

- Targeted prospecting campaigns
- Identifying potential sellers
- Booking listing and buyer appointments
- Developing your own sphere and referral business
If your prospecting produces a qualified opportunity that another team member ultimately takes over and closes, there may still be an incentive payable to you.

Requirements
- Active B.C. Real Estate Trading Services license
- Minimum 2 years of post-licensing real estate experience
- Excellent written and spoken English
- Strong understanding of residential real estate transactions
- Own vehicle

- Ability to work regularly from our downtown Vancouver office
- Strong organizational and computer skills
