Position SummaryThe School Age Childcare Manager plays a critical leadership role in ensuring the delivery of high-quality, inclusive, and compliant licensed school age childcare programs across YWCA St. Thomas-Elgin. This position oversees program operations, staffing, licensing compliance, quality assurance, and family and community partnerships, while supporting safe, responsive, and engaging environments for children and families. Working closely with the Director of School Age Childcare, Educators, school partners, and community stakeholders, the School Age Childcare Manager strengthens program quality, supports staff development, and ensures effective operational practices across a portfolio of childcare programs. The Manager is accountable for maintaining compliance with Ministry of Education requirements, YWCA policies, and licensing standards, while ensuring program needs, staffing requirements, and child-to-staff ratios are consistently met.
As a member of the YWCA Leadership Team, the School Age Childcare Manager contributes to organizational planning, cross-departmental collaboration, and continuous improvement initiatives that support YWCA's mission, values, and strategic priorities. This role actively advances YWCA's commitments to Truth and Reconciliation, equity, diversity, and inclusion, while helping create the safe, supportive, and empowering experiences that children and families deserve. Key Responsibilities
1. Program Operations & Quality
- Provide leadership, supervision, coaching, feedback, and support to designated school age childcare programs and Educator teams using a strengths-based, quality-focused approach.
- Support the planning and implementation of before and after school programs, non-instructional day programming, and summer camps.
- Coordinate staffing, scheduling, and operational coverage to ensure licensing ratios and program requirements are met.
- Work in-ratio in Before and After School Programs, as well as Non-Instructional Days, and Summer Camps, when required to maintain safe and effective program operations.
- Monitor, evaluate, and implement improvements to program quality through observation, documentation, feedback, and reflective practice.
- Support implementation of the YWCA School Age Childcare Program Statement and pedagogical approaches.
- Conduct routine site visits and program inspections and follow up on identified actions and enhancements.
- Order program materials and supplies and support program setup and maintenance.
2. Inclusion, Family Engagement & Community Partnerships
- Support inclusive programming for children with diverse abilities and needs, including personal care support when required.
- Coordinate and facilitate Individual Support Plan and Medical Plan meetings with families, school staff, and community partners.
- Respond to parent inquiries, concerns, and escalated program matters professionally and collaboratively.
- Maintain positive relationships with families, schools, Ministry representatives, staff, volunteers, and community partners.
- Support implementation of YWCA's Truth and Reconciliation commitments through ongoing learning, relationship-building, and culturally responsive practices.
- Promote and model Equity, Diversity, Inclusion, and Belonging throughout program operations.
3. People Leadership & Human Resources
- Support recruitment, onboarding, orientation, evaluation, and ongoing training of Educators and relief staff.
- Support staff engagement, recognition initiatives, professional learning, and career development opportunities.
- Foster a positive, inclusive, and collaborative team culture aligned with YWCA values.
- Provide coaching and guidance to support employee performance, accountability, and continuous improvement.

4. Compliance, Licensing & Risk Management
- Support Ministry of Education licensing visits and ensure ongoing compliance with CCEYA, Ministry requirements, and YWCA policies.
- Provide on-call phone and in-person support on a rotating basis to address staffing absences, licensing matters, emergencies, and operational concerns.
- Maintain accurate records, reports, inspections, documentation, and correspondence.
- Ensure safe work practices are followed and support incident response, documentation, and follow-up processes as required.
5. Leadership, Administration & Organizational Development
- Participate actively in YWCA Leadership Team meetings, strategic planning, and organizational initiatives.
- Contribute to agency-wide projects, policy development, and continuous improvement efforts.
- Support organizational change initiatives and champion YWCA values across programs.
- Support budget monitoring, purchasing, and responsible stewardship of program resources.
- Provide operational support and recommendations to the Director of School Age Childcare.
- Other duties as assigned.
Qualifications
· Registered Early Childhood Educator (RECE) designation, Bachelors of Early Childhood Leadership, Diploma in Child & Youth Care, or related post-secondary education is considered an asset.
· Minimum 2 years’ experience working with school-aged children.
· Minimum 2–3 years of progressive leadership, supervisory, or management experience.
· Thorough knowledge of the CCEYA, How Does Learning Happen?, and Ministry licensing requirements.
· Demonstrated experience supporting children with exceptionalities, supporting, advocating for and implementing inclusive programming.
· Current First Aid and CPR Level Certification from a WSIB recognized provider.
· Strong organizational, communication, and leadership skills.
· Proficiency with Microsoft 365 programs including Outlook, Teams, Excel, Forms, PowerPoint, and related software.
· Valid driver’s license and reliable access to a vehicle.
· Ability to work flexible hours and respond to operational needs when required.

Working Conditions
· Work is performed in office, school, and community environments in St.Thomas and Elgin County
· Regular (and at times unexpectedly urgent) travel to local and Elgin County school locations is required during the hours of 7am-9:30am, and 3pm to 6pm.
· Outdoor program support in all weather may be required.
· Manual dexterity required for computer and administrative tasks.
· Physical duties may include lifting, carrying supplies, and supporting children in program environments.
· Overtime, lieu time, and staffing coverage may be required during peak operational periods.
· Vacation requests may be limited during peak operational periods, including summer programming and seasonal transitions.
