Due to our continued growth, we are seeking an organized and proactive Office Administrator to join our team. This is an excellent opportunity for an experienced administrative professional who enjoys working in a dynamic environment and supporting a variety of real estate, development, property management, and corporate office initiatives.
Position Overview:
The Office Administrator plays a key role in supporting the day-to-day operations of our Real Estate and Development teams. Working closely with the General Manager-Real Estate and the Vice President of Development, this position coordinates office administration, project documentation, vendor compliance, reporting, scheduling, and operational activities to help ensure projects and business initiatives are executed efficiently.
Key Responsibilities:
Office Administration
- Coordinate day-to-day office administration, including office supplies, vendor relationships, office service providers, and general office operations.
- Assist with new employee office set-up and administrative onboarding activities.
- Prepare correspondence, reports, presentations, and other business documents.
- Coordinate meetings, schedules, and arrangements as required.
- Maintain office filing systems, records, and administrative documentation.
- Participate in special projects and provide administrative support to senior leadership as required.
Real Estate Operations Support
- Provide administrative support to the General Manager, Real Estate, including document preparation, report compilation, research, and tracking of operational initiatives.
- Coordinate documentation and reporting related to building assessments, capital projects, remediation initiatives, and other property improvement activities.
- Maintain vendor compliance documentation, including Certificates of Insurance, WSIB clearance certificates, HST registrations, and other required records.
- Assist with reporting, document control, and maintaining accurate operational records.
- Coordinate communication and follow-up with internal departments, tenants, contractors, and external service providers as required.
Development Administration
- Support the Vice President of Development with the coordination of development projects, including proposal circulation, purchase order administration, invoice approvals, meeting coordination, and project documentation.
- Maintain project schedules, contact directories, trackers, and development records, including expropriation tracking where applicable.
- Coordinate with consultants, contractors, and vendors to ensure project documentation and outstanding items are completed in a timely manner.
- Assist with project reporting, correspondence, warranty administration, deficiency tracking, and project close-out activities.
- Support the preparation and organization of development-related meetings, presentations, and reports.
Required Knowledge and Experience:
- Minimum three (3) years of office administration or administrative coordination experience in a professional office environment.
- Experience within real estate, property management, construction, engineering, architecture, or development industries is considered a strong asset.
- Diploma or certificate in Business Administration, Office Administration, or a related field is considered an asset.
- Exceptional organizational and time management skills with the ability to manage multiple priorities and deadlines.
- Strong attention to detail with excellent document preparation, proofreading, and record management skills.
- Excellent written and verbal communication skills with a professional and customer-focused approach.
- Advanced proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Experience preparing reports, coordinating meetings, maintaining project documentation, and tracking action items.
- Ability to work independently while collaborating effectively with multiple departments and stakeholders.
- Strong problem-solving skills with the ability to anticipate needs, take initiative, and follow through.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
- Experience coordinating vendors, consultants, and service providers is considered an asset.
- Experience with purchase orders, invoice processing, and basic financial administration is considered an asset.

Pay: $60,000.00-$75,000.00 per year
