Full job description

Dental Administrator – Permanent Full-Time

Tooth Room Dental is a modern, growing practice in Newmarket. Our small team works closely in a respectful, supportive environment where clear communication and dependable follow-through matter.

We are looking for an accurate, self-directed Dental Administrator to independently manage our front desk, patient scheduling, insurance workflows, and financial administration. This is an administrative-only position. It does not include chairside assisting, sterilization, or other clinical duties.

What you will manage

Welcome patients and manage check-in, check-out, phone, and email communication with warmth and professionalism.
Optimize the schedule, including bookings, confirmations, filling cancellations, and recalls.
Obtain and carefully document dental insurance breakdowns and coverage details.
Prepare estimates and predeterminations; submit EDI claims; review EOBs; coordinate benefits; and follow unresolved or rejected claims until the issue is resolved.
Enter insurance and patient payments accurately, reconcile account activity, collect patient balances, and follow outstanding accounts receivable.
Explain treatment estimates, insurance limitations, and payment options clearly and calmly.
Maintain accurate patient and financial records in Akitu One and keep the reception area and administrative workflows organized.
Communicate closely with the dentist and assistant so patients receive a smooth, well-coordinated experience.

What you bring

At least one year of hands-on work experience in a Canadian dental office is required.
Strong practical knowledge of Canadian dental insurance, including benefit verification, breakdowns, EDI claims, predeterminations, EOBs, coordination of benefits, and claim follow-up.
Experience with dental scheduling, treatment estimates, payment posting, patient balances, and accounts receivable.
Strong attention to detail, good note-taking habits, and dependable follow-up.
Calm, confident verbal and written communication with patients, insurers, and team members.
Ability to work independently at the front desk while collaborating with the clinical team.
Reliable availability for every scheduled shift, including Saturdays and Sundays.

Assets

Previous experience in an Ontario dental practice.
Experience with Akitu One.
Familiarity with the Canadian Dental Care Plan (CDCP).
A dental administration certificate or diploma.

Schedule

Monday: 10:00 a.m.–6:00 p.m.
Tuesday: Off
Wednesday: Off
Thursday: 10:00 a.m.–6:00 p.m.
Friday: 10:00 a.m.–6:00 p.m.
Saturday: 10:00 a.m.–6:00 p.m.
Sunday: 10:00 a.m.–4:00 p.m.
