Full job description

Overview

We are looking for a friendly and organized Administrative Assistant to join our team. In this role, you will be the backbone of our daily operations, providing essential support to ensure everything runs smoothly. Whether managing schedules, handling correspondence, or assisting with clerical tasks, your contributions will help create a productive and welcoming environment. The ideal candidate is detail-oriented, tech-savvy, and enjoys multitasking in a dynamic setting.

Duties

Perform data entry tasks accurately using Microsoft Office applications and Google Workspace tools.
Maintain organized filing systems—both digital and paper—to ensure easy retrieval of documents.
Assist with bookkeeping using Sage or similar accounting software to support financial record-keeping.
Provide excellent customer service by responding to inquiries and supporting clients needs.
Proofread correspondence and reports to ensure clarity and accuracy before distribution.
Prepare customer invoices
Maintain social media accounts (Facebook, instagram, etc)
General office procedures as required in a busy work environment.

Skills

Proven clerical experience with strong organizational skills and attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
Familiarity with Sage or other bookkeeping software is a plus.
Excellent computer skills including data entry, filing, and managing multi-line phone systems.
Strong customer service skills combined with professional phone etiquette.
Experience working in medical or dental offices is desirable but not mandatory.
Ability to multitask efficiently while maintaining accuracy in a fast-paced environment.
