Purpose
The District Sales Administrator role provides administrative support to district personnel with responsibilities including customer contracts, credit documentation, collections tracking, and internal communication. This role works independently within established policies to ensure timely and accurate processing of sales-related documentation and procedures. Additionally, this role will support smooth district operations and act as a liaison between district teams and other EFCO departments.
Key Responsibilities
Administrative and Document Management (40%)
- Coordinate and process customer-facing documentation including sales contracts, credit approvals, project files, and internal forms.
- Maintain accurate records and ensure required documentation is completed in compliance with EFCO’s standards.
- Apply Responsibility and Written Communication skills to support effective customer and internal service.
Credit and Collection Support (20%)
- Track customer credit applications and communicate with corporate credit department.
- Monitor past-due accounts and assist in resolving basic payment issues.
- Escalate complex concerns to the District Manager or Credit Manager as needed.
- Demonstrate Judgment and Adaptability when working with sensitive financial data.
District Office Coordination (20%)
- Support district operations by assisting with travel arrangements, meeting coordination, supply orders, and general clerical tasks.
- Act as the first point of contact for visitors and incoming communications.
- Exhibit strong Organization and Oral Communication skills in a dynamic team environment.
Customer and Team Support (15%)
- Assist with onboarding and orientation of new hires, providing systems access and introductory documentation.
- Maintain local personnel files and act as liaison for HR-related forms and questions.
- Contribute to a smooth-functioning team environment through proactive, service-oriented behavior.
Other Duties (5%)
- Participate in special projects or other assigned administrative duties to meet district objectives and evolving priorities.
Additional duties may be assigned to meet organizational goals and priorities. Duties and responsibilities, as required by business necessity, may be added, deleted, or changed at any time at the discretion of management, formally or informally, either verbally or in writing, to meet organizational goals and priorities.
Qualifications
- Education: High school diploma or equivalent required. Associate’s degree in business or office administration preferred.
- Experience: 2+ years of administrative or customer service experience; experience handling credit, billing, or contract documentation preferred.
- Computer Skills: Proficiency in Microsoft Office Suite and enterprise systems.
- Other Requirements: Strong written and oral communication skills; excellent attention to detail and ability to prioritize multiple tasks; must work well independently and exercise sound judgment; no travel required.

Working Arrangement
- This role will work 100% onsite at our Airdrie, Alberta Canada location.
