JOB DESCRIPTION

JOB TITLE Financial Office Clerk, Administrative Support
COMPANY AND LOCATION Auxilium Health (Hybrid), Oshawa, ON
EMPLOYMENT TYPE Permanent, Full-time
HOURS 37.5 hours per week, Monday to Friday, 9:00am-5:00pm

REPORTING TO Sr. Manager, Patient Support Programs

POSITION SUMMARY:
This position provides essential administrative support to our Patient Support Program, ensuring smooth operations and financial assistance support. Key duties include supporting the completion of program documentation, processing financial assistance requests, and acting as a back-up to the Office Clerk role to ensure continuity of daily operations. The role also involves performing general administrative tasks such as faxing, scanning, filing and mailouts. This administrative support is critical for maintaining program efficiency, meeting patient needs, and ensuring compliance with processes and regulations.

GENERAL RESPONSIBILITIES & ESSENTIAL FUNCTIONS:

Assist with the completion, review, and processing of program documentation to ensure accuracy and completeness.
Perform manual financial assistance processing, including data entry, verification, and tracking of requests.
Maintain accurate and up-to-date records within internal systems (e.g., Salesforce or other databases.
Complete financial assistance certificate generation and termination across all Programs within the portfolio.
Reconcile financial assistance records monthly to ensure accuracy for invoicing purposes.
Act as a back up to Office Clerks, providing coverage for administrative tasks as needed (e.g., inbox management, data entry and review for documentation related to patient services, etc.)
Communicate with internal teams to resolve documentation gaps or discrepancies.
Ensure compliance with program requirements, policies, and data accuracy standards
Support general administrative duties, including filing, data entry, record maintenance, and mailouts.

QUALIFICATIONS

Excellent organizational skills and attention to detail
Proficient in Microsoft Office and Adobe Pro
Demonstrated ability to work efficiently and maintain a sense of urgency in a fast-paced setting
Ability to work independently and with a team
Strong problem solving and critical thinking skills
Strong written communication skills
Strong time management skills and ability to multitask
Experience with Salesforce, is an asset

EDUCATION

Secondary school required, post-secondary preferred or equivalent experience

WORKING CONDITIONS:

Office environment: sitting at a desk, working on a computer
