Front Desk & Client Experience Coordinator
Miracle Beauty Medical Aesthetics – North York, ON
Compensation: $19.00–$23.00 per hour (based on experience and qualifications)

We're looking for an organized, energetic, friendly, and professional individual who enjoys working with people and takes pride in delivering an outstanding client experience.
This is much more than a traditional receptionist position. You will become the hub of our clinic, helping coordinate daily operations while ensuring every client receives exceptional service.
What You'll Do Client Experience
- Welcome every client with a warm, professional attitude.
- Check clients into the clinic using our digital systems.
- Offer coffee, tea, water, and refreshments.
- Escort clients to treatment rooms when appropriate.
- Assist with SkinVisia skin analysis and before & after photography (training provided).
- Apply topical numbing cream when required (training provided).
Scheduling & Client Communication
- Answer phones, emails, text messages, social media inquiries, and voicemails.
- Book, confirm, and reschedule appointments.
- Help organize provider schedules while ensuring proper appointment timing.
- Coordinate the daily flow of the clinic by keeping track of which clients are waiting, which treatment rooms are occupied, and ensuring providers stay on schedule.
- Follow up with clients after treatments, including wellness checks for selected procedures and ongoing maintenance reminders.
Administrative Responsibilities
- Record payments, deposits, gift cards, prepaid packages, and client credits.
- Verify remaining balances and treatment credits before appointments.
- Prepare client charts and treatment information for providers.
- Complete accurate data entry using spreadsheets and clinic software.
- Assist with electronic charting and treatment documentation as training progresses.
- Perform occasional filing and general administrative duties.
Clinic Operations
- Open the clinic each morning by preparing all equipment and systems.
- Start computers, tablets, POS systems, phones, SkinVisia equipment, music, lighting, and clinic devices.
- Prepare treatment rooms between appointments.
- Maintain reception and waiting areas throughout the day.
- Restock refreshments and supplies.
- Perform light laundry and light daily cleaning duties.
- Help maintain a clean, organized, luxury clinic environment.
Learning & Product Knowledge
Training is provided; however, successful candidates must enjoy learning.
Our front desk team is expected to become knowledgeable about our treatments—not to perform consultations, but to confidently answer common questions, explain our services at a high level, discuss pricing, provide basic before- and after-care instructions, and guide clients toward the appropriate consultation with one of our medical professionals.

- Mandarin, Cantonese, Spanish language skills are considered a strong asset due to the needs of our client base.
