JCatering Sales Coordinator

Location: Valentino Event Centre at Staybridge Suites Aurora East & Holiday Inn Express & Suites Aurora

Reports To: Director of Sales & Marketing
Status: Full-Time | On-Site | Aurora, Ontario

The Opportunity

We are seeking an organized, service-driven Catering Sales Coordinator to support the growth and execution of catering and events across our Aurora Hotel Campus.

The primary focus of this role is Valentino Event Centre at Staybridge Suites Aurora East, with secondary responsibility for Holiday Inn Express & Suites Aurora SMART Meetings and food and beverage events taking place within Staybridge Suites Aurora East and Valentino Bar.

This is a catering sales and event detailing role that works in partnership with our Sales Managers and Operations teams.

For many corporate and group opportunities, the Sales Manager will secure the guestrooms and event space, after which the Catering Sales Coordinator will take ownership of the catering details, food and beverage requirements, upselling opportunities and coordination with Operations to bring the event to life.

For catering-only and appropriate social event inquiries, the Catering Sales Coordinator will manage the opportunity directly from inquiry through contracting, detailing and execution.

Key Responsibilities

Catering Sales & Revenue

· Manage catering-only inquiries for meetings, corporate events, social gatherings and other functions.

· Prepare catering proposals, menus and agreements for assigned business.

· Conduct tours and client meetings specific to catering and event requirements.

· Follow up on catering leads and convert qualified opportunities into confirmed business.

· Maximize catering revenue through menu enhancements, bar packages, breaks, receptions, AV and other event-related upselling opportunities.

· Support the Sales Managers in developing complete meeting and event solutions for clients.

· Maintain accurate catering activity, client information and event details within the appropriate sales and event systems.

Event Detailing & Client Handover

For business secured by a Sales Manager, the Catering Sales Coordinator will become the client's primary contact for the detailed planning and coordination of the event following the sales handover.

Responsibilities include:

· Conduct detailed planning meetings with confirmed clients.

· Review contracted event space, dates, attendance and commitments before beginning the detailing process.

· Guide clients through menu selection, bar requirements, room setup, timelines, AV, décor and other event requirements.

· Identify additional catering and event revenue opportunities throughout the planning process.

· Prepare detailed Banquet Event Orders (BEOs), floor plans and event timelines.

· Ensure all client decisions and changes are accurately documented and communicated.

· Conduct final event reviews with clients prior to arrival.

· Maintain a smooth transition between Sales, Client and Operations.

Operational Coordination

· Serve as the key communication link between the client and hotel/event operations once an event enters the detailing stage.

· Coordinate closely with Culinary, Banquets, Front Office, Housekeeping, Maintenance and other departments.

· Ensure BEOs accurately reflect the client's expectations and provide Operations with the information required for successful execution.

· Participate in BEO and operational meetings.

· Communicate last-minute changes quickly and accurately.

· Conduct pre-event walkthroughs and final room inspections when required.

· Be visible during key event arrivals and transitions to ensure a successful handoff to Operations.

· Follow up with clients after events and communicate feedback internally.

Valentino Event Centre

The primary responsibility of the position is supporting catering sales and event coordination for Valentino Event Centre, including:

· Corporate meetings and events

· Weddings and social celebrations

· Galas and awards dinners

· Holiday parties

· Fundraisers

· Receptions and networking events

· Catering-only functions

The Coordinator will work closely with the Sales Managers to ensure that guestrooms, event space and catering are presented to the customer as one complete experience.

Hotel Campus Food & Beverage

The Catering Sales Coordinator will also help bring the food and beverage strategy for our Hotel Campus to life.

This includes supporting:

· Valentino Event Centre

· Staybridge Suites Aurora East lobby events and receptions.

· Holiday Inn Express & Suites Aurora SMART Meetings and associated catering requirements.

· Valentino Bar events and food and beverage activations.

· Corporate networking and client events.

· Holiday and seasonal programming.

· Opportunities to cross-sell catering, accommodations and event services across the Hotel Campus.

The goal is to create a connected experience across Valentino Event Centre, Staybridge Suites Aurora East and Holiday Inn Express & Suites Aurora.

Qualifications & Experience

· 1–3 years of catering sales, event coordination, banquet, hotel or hospitality experience preferred.

· Previous experience within a hotel, event venue, catering company or banquet operation is an asset.

· Understanding of catering menus, BEOs, room setups and event operations.

· Strong sales and upselling skills with a focus on maximizing food and beverage revenue.

· Exceptional organization and attention to detail.

· Strong written and verbal communication skills.

· Ability to develop professional relationships with clients while working collaboratively with Sales and Operations.

· Ability to manage multiple events and deadlines simultaneously.

· Experience with CRM, event management or hotel systems is an asset.

· Proficiency with Microsoft Office.

· Flexibility to work evenings and weekends when required by the event calendar.

The Ideal Candidate

You understand that selling the event and delivering the event are equally important.

You are comfortable receiving a confirmed piece of business from a Sales Manager, building a strong relationship with the client, uncovering additional catering opportunities and translating their vision into clear operational details.

You can take a signed contract and turn it into an accurate BEO, detailed floor plan and executable event plan.

At the same time, you have the sales ability to manage catering-only opportunities and grow food and beverage revenue across the Hotel Campus.

Above all, you understand the importance of communication. Your role connects Sales, the Client and Operations, ensuring that what was sold is properly detailed and ultimately delivered.
