Full job description

Administrative Assistant

Davey Auto Sales is a family-owned and operated dealership proudly serving Durham Region for decades. We are looking for a dependable, organized, and customer-focused Administrative Assistant to join our growing team. This is a fast-paced position that supports our sales, finance, licensing, and customer service departments. Every day is different, making this an excellent opportunity for someone who enjoys staying busy and takes pride in keeping things organized.

Responsibilities Reception & Customer Service

Answer incoming phone calls and direct inquiries professionally
Follow up with customers after vehicle delivery to ensure they had an excellent experience
Communicate with customers by phone, email, and text regarding required documents and vehicle delivery

Administration & Office Support

Process and organize vehicle sale documentation
Prepare customer files for delivery
Perform data entry and verify information across multiple dealership systems
Maintain office records and assist with monthly filing and document archiving
Assist with general administrative duties and office organization

Vehicle Licensing & Deal Processing

Coordinate paperwork with ServiceOntario, insurance companies, finance companies, and auction partners
Process ownership transfers and supporting documentation
Prepare and process warranty, GAP, and protection products when applicable
Ensure all documentation is accurate and complete before vehicle delivery

Sales & Finance Support

Assist with credit applications and financing documentation
Pull vehicle history and lien reports
Communicate with lenders and insurance providers as required
Support the sales and finance teams throughout the delivery process

Additional Duties

Coordinate transportation for purchased vehicles and follow up on deliveries
Support other departments as business needs require

Qualifications

Previous administrative or office experience preferred
Automotive dealership experience is considered a strong asset but is not required
Excellent organizational skills with strong attention to detail
Comfortable working with computers and learning multiple software systems
Strong written and verbal communication skills
Ability to prioritize tasks and work independently
Friendly, professional, and dependable

Schedule

40 hours per week. Must be available Weekdays, Evenings and Saturdays (required)
