Position Overview
We are seeking a highly organized, discreet, and detail-oriented Personal Accountant & Administrator to provide comprehensive financial and administrative support to the Chief Executive Officer and related personal entities. Reporting to the Corporate Controller, this trusted role is responsible managing personal financial records, asset and insurance administration, legal and corporate documentation, and coordinating with external professional advisors. This is an excellent opportunity for a proactive individual who thrives in a position of trust and takes pride in delivering exceptional support in a dynamic and fast-paced environment.
Salary: $120K - $140K per year
Shifts: 8-hour day, 40 hour work week, full-time and permanent
Location: must be based in Canmore AB
Key Responsibilities
Personal Accounting & Financial Management
Standard: Ensures all personal financial records and transactions are maintained accurately, efficiently, and confidentially.

Manage all aspects of personal bookkeeping and financial administration for the CEO and related personal entities.

Process and reconcile personal bank accounts, credit cards, loans, and investment accounts.

Manage accounts payable, bill payments, expense tracking, and cash flow monitoring.

Track and monitor RRSP contributions, contribution room, and related registered account administration.

Prepare periodic personal financial reports, net worth statements, and cash flow summaries.

Coordinate with external accountants to support the preparation and filing of personal, corporate, and trust tax returns.

Maintain complete and accurate financial records and supporting documentation.

Ensure all financial information is handled with strict confidentiality.
Insurance, Risk Management & Asset Administration
Standard: Maintains accurate records and effective administration of personal assets, insurance programs, and risk management activities.

Administer and coordinate personal insurance programs, including property, auto, liability, travel, and specialty insurance coverage.

Coordinate annual insurance renewals and ensure appropriate levels of coverage are maintained.

Maintain detailed records of personal assets, including real estate, vehicles, recreational assets, and other investments.

Coordinate vehicle registrations, renewals, and related administrative filings.

Assist with insurance claims and coordinate with brokers and service providers as required.

Identify and communicate potential financial or administrative risks.

Maintain organized records related to asset ownership and insurance coverage.
Contract, Legal & Corporate Administration
Standard: Ensures legal, contractual, and corporate records are maintained accurately and confidentially.

Maintain and organize all personal legal, corporate, and contractual documentation.

Coordinate with legal counsel regarding contracts, estate planning, corporate filings, trusts, and other legal matters.

Track key dates, renewals, filing deadlines, and contractual obligations.

Support the administration of personal corporations, holding companies, trusts, and other business interests.

Ensure records are maintained in an organized, secure, and confidential manner.

Assist with document preparation and information gathering for external advisors.
Personal Business & Household Administration
Standard: Ensures personal administrative matters are managed proactively, accurately, and efficiently.

Coordinate and oversee administrative matters related to personal residences, household operations, and personal business interests.

Manage relationships with household vendors, contractors, service providers, and property managers.
-
Coordinate major purchases, maintenance activities, and special projects on behalf of the CEO.

Support administration of banking matters for dependents (e.g., children’s accounts), as directed by the CEO.

Ensure personal administrative matters are completed accurately and in a timely manner.
-
Maintain organized filing systems and records for all personal affairs.
-
Monitor deadlines, payments, renewals, and other ongoing obligations.
Liaison & Administrative Support
Standard: Provides proactive liaison and administrative support while maintaining exceptional discretion and confidentiality.

Act as a liaison between the CEO and external advisors, including bankers, accountants, lawyers, insurance brokers, and other professionals.

Anticipate needs, proactively identify issues, and recommend solutions related to personal financial and administrative matters.

Lead and coordinate special projects and initiatives as assigned, within the scope of personal financial and administrative affairs.

Prepare reports, summaries, and correspondence as requested.

Maintain absolute confidentiality regarding all personal, financial, legal, and business matters.
This role does not include calendar management, meeting scheduling, travel booking, or other day-to-day executive assistant duties. Requests falling outside the scope of this job description should be directed to the appropriate executive support resource.

Post-secondary education in Accounting, Finance, Business Administration, or a related field; a bookkeeping designation (e.g., CPB) or progress toward a professional accounting designation is considered a strong asset.

Minimum 5 years of accounting, bookkeeping, or financial administration experience.

Experience with personal/family office accounting, high-net-worth client services, or trust and estate administration is considered a strong asset.

Strong knowledge of accounting principles, bookkeeping practices, and financial reporting.

Advanced proficiency in Microsoft Excel and Microsoft Office Suite.

Experience working with accounting software and financial management systems.

Exceptional organizational and time management skills.

Strong attention to detail and accuracy.

Ability to work independently and manage multiple priorities simultaneously.

Excellent written and verbal communication skills.

Demonstrated ability to handle highly confidential and sensitive information with discretion and professionalism.

Execution of a standalone confidentiality/non-disclosure agreement, in addition to standard employment agreement terms, is a condition of employment for this role.
