Centerfire Energy Group is seeking a highly organized and detail-oriented Site Administrator / Project Administrator to support daily field operations and project teams. This role is responsible for coordinating workforce onboarding, project documentation, payroll support, reporting, and site logistics while supporting clear communication between field crews, project management, clients, and corporate teams.
Opportunity: Site Administrator/Project Administrator
Location: Fort McMurray - Town Office
Report to: Site Superintendent
Key Responsibilities:
- Coordinate employee onboarding, orientations, site access requirements, and related administrative documentation.
- Arrange travel, accommodations, and transportation logistics for project personnel as required.
- Support supervisors and project teams with day-to-day site administration requirements.
Project & Operational Support:
- Prepare and maintain Daily Construction Reports (DCRs), labour reports, equipment reports, and project documentation.
- Maintain organized project filing systems and support document control processes, including revision tracking and distribution of project information.
- Coordinate project meetings, prepare meeting minutes, and track action items through to completion.
- Daily LEMs submission and tracking.
- Assist with project reporting, document submissions, and communication between field and office teams.
Payroll & Financial Administration:
- Review and process employee timesheets and payroll submissions accurately and on schedule.
- Assist with labour and equipment cost tracking, purchase orders, invoice processing, reconciliation, and project cost reporting.
- Support project managers and project controls with budget tracking and administrative reporting requirements.
Client, Vendor & Field Coordination:
- Act as a professional point of contact for clients, subcontractors, vendors, and project stakeholders.
- Coordinate client-required documentation and project reporting submissions.
- Facilitate timely communication between field operations, project management, and corporate support departments.
Qualifications & Experience:
- High school diploma required; post-secondary education in Business Administration, Office Administration, or a related field is considered an asset.
- Minimum 5 years of administrative experience, preferably in construction, industrial, pipeline, oil and gas, or site-based operations.
- Experience supporting field operations within a fast-paced project environment is preferred.
- Strong proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and Teams.
- Experience with payroll, workforce management, accounting, project management, or document management systems is considered an asset.
- Strong understanding of timesheet processing, payroll support, purchase orders, invoice administration, and project reporting.
- Knowledge of project documentation, document control, and reporting processes.
- Familiarity with health, safety, and environmental documentation and compliance requirements.
- Exceptional organizational and time management skills with the ability to manage multiple priorities and meet deadlines.
- Strong verbal and written communication skills with the ability to interact professionally with employees, clients, vendors, subcontractors, and corporate teams.
- High attention to detail, accuracy, confidentiality, and problem-solving ability.
- Ability to work independently while collaborating effectively with field supervisors, project managers, HR, payroll, accounting, and safety teams.
