IVEY Group of Companies is seeking a detail-oriented and motivated Human Resources Administrator to support the HR function across our organization. This is a hands-on, administratively focused role that will work closely with our Human Resources Manager and provide HR support to both IVEY Group and Rock Solid Resources.

This is an excellent opportunity for an early-career HR professional to gain broad exposure across recruitment, onboarding, benefits, HRIS administration, payroll coordination, and field workforce support, while working alongside an experienced HR Manager and a collaborative leadership team.
Responsibilities:
- Provide day-to-day HR administrative support to both IVEY Group and Rock Solid Resources, working closely with the Human Resources Manager
- Maintain accurate and up-to-date employee records, files, and documentation in our HRIS (Rippling), ensuring data integrity across systems
- Support full-cycle onboarding, including preparing offer letters, employment agreements, new hire paperwork, Rippling setup, system access requests, and orientation coordination
- Coordinate offboarding activities, including documentation, system deactivation, exit interviews, and final pay reporting
- Prepare and submit payroll change reports to Finance, including new hires, terminations, compensation changes, benefits adjustments, leaves, and other status changes
- Manage timesheet collection, review, and reconciliation for Rock Solid Resources field employees, ensuring accuracy and timely submission to Finance for payroll processing
- Administer group benefits enrolments, changes, and terminations, and serve as a first point of contact for employee benefits questions
- Support recruitment activities, including drafting and posting job advertisements, scheduling interviews, coordinating candidate communications, and maintaining applicant tracking
- Track Rock Solid Resources field workforce certifications, tickets, and training requirements (e.g., Common Core, WHMIS, First Aid, trade certifications), and flag upcoming expiries to the HR Manager and operations leadership
- Draft HR memos, internal communications, employment letters, and routine correspondence as required
- Maintain HR trackers, dashboards, and reports for the HR Manager and leadership team
- Support the administration of HR policies, employee handbooks, and standard operating procedures
- Assist with health and safety administrative tasks, including maintaining training records and supporting WSIB documentation as directed
- Support employee engagement initiatives, recognition programs, and internal events
- Maintain strict confidentiality and discretion when handling sensitive employee and business information
- Provide general administrative support to the HR Manager and contribute to continuous improvement of HR processes and systems
Required Skills & Experience:
- Postsecondary diploma or degree in Human Resources, Business Administration, or a related field from a recognized college or university
- 1 to 3 years of related work experience in an HR, payroll, or office administration capacity
- Strong administrative and organizational skills, with proven attention to detail and accuracy
- Comfort working with HRIS or payroll systems (experience with Rippling is an asset; experience with comparable systems such as ADP, Ceridian/Dayforce, BambooHR, or Workday will be considered)
- Proficient with Microsoft Office (Outlook, Word, Excel) and comfortable learning new software and digital tools
- Working knowledge of Ontario employment standards, with willingness to continue developing this knowledge
- Excellent verbal and written communication skills
- Strong sense of professionalism, discretion, and ability to handle confidential information with integrity
- Ability to manage multiple priorities, meet deadlines, and work both independently and as part of a small team
- Bilingualism will be considered an asset
Considered Assets:
- CHRP designation, in progress, or commitment to pursuing the designation
- Previous experience in a staffing, recruitment, mining, construction, manufacturing, or industrial environment
- Exposure to immigration-related HR processes (LMIA, work permits, foreign worker onboarding) or willingness to learn
- Experience supporting payroll change reporting and timesheet reconciliation in a multi-entity or multi-location organization
- Familiarity with WSIB processes and workplace health and safety administration
