Job Summary

We are a high end custom architectural metalwork shop seeking a motivated and detail-oriented Bookkeeper/Administrative Assistant to join our dynamic team. This role combines essential bookkeeping responsibilities with administrative support, ensuring smooth daily operations and accurate financial record-keeping. The ideal candidate will be proactive, organized, and possess excellent communication skills to support various office functions and client interactions. This paid position offers an exciting opportunity to develop your administrative and financial skills within a collaborative environment.

Responsibilities

Manage day-to-day bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and bank reconciliations
Handle data entry with precision to maintain accurate financial records and client information
Support administrative functions such as filing, document proofreading, and maintaining organized office files
Answer phone systems professionally, providing excellent customer service and support to clients and visitors
Utilize Microsoft Office and Google Workspace and monday.com tools to prepare reports, correspondence, and presentations

Requirements

Proven experience with QuickBooks accounting software and general bookkeeping procedures
Strong office experience with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
Excellent computer skills with a focus on data entry, typing accuracy, and document proofreading
Previous clerical experience in a professional setting; dental or medical office experience is a plus
Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment
Strong customer service skills with professional phone etiquette
Knowledge of filing systems and basic administrative procedures
Ability to perform accurately under pressure while maintaining attention to detail
