Summary:
The Field Liaison Coordinator is responsible for the overall coordination, administration, and continuous improvement of Chippewas of the Thames First Nation's Archaeological Field Liaison (AFL) and Ecological Field Liaison (EFL) Programs. This role serves as the operational lead for both programs, ensuring field requests are coordinated efficiently, liaison staff are scheduled appropriately, contracts and invoicing are completed accurately, and training requirements are maintained.
Working closely with the Consultation Team, proponents, community members, Finance, government agencies, and external consultants, the Field Liaison Coordinator supports the successful delivery of archaeological and environmental monitoring activities in accordance with community priorities, consultation commitments, and organizational policies. This position plays a key role in strengthening program effectiveness, accountability, and service delivery.
Responsibilities:
- Coordinate the day-to-day operations of the Archaeological Field Liaison (AFL) and Ecological Field Liaison (EFL) Programs.
- Schedule and deploy Field Liaison personnel while managing project requests, staff availability, and field logistics.
- Serve as the primary contact for proponents, consultants, contractors, government agencies, and community members regarding field liaison services.
- Prepare and administer contracts, service agreements, purchase requisitions, invoices, and financial documentation.
- Develop and improve policies, procedures, workflows, and operational systems that support efficient program delivery.
- Recruit, onboard, orient, and support Archaeological and Ecological Field Liaison personnel.
- Monitor program performance through accurate record keeping, statistics tracking, reporting, and continuous improvement initiatives.
- Maintain comprehensive program documentation including project files, deployment records, contracts, invoices, certifications, and field reports.
- Review and coordinate timesheets and payroll-related documentation.
- Support consultation and environmental monitoring activities in collaboration with the Consultation Team.
- Build and maintain positive working relationships with community members, proponents, consultants, and government agencies.
- Contribute to departmental planning, budgeting, funding proposals, and program evaluations.
- Research and implement technology solutions that improve program efficiency and records management.
- Ensure compliance with applicable legislation, organizational policies, health and safety requirements, confidentiality standards, and consultation protocols.
- Perform other related duties as assigned.
Qualifications:
- Diploma or Degree in Business Administration, Environmental Studies, Indigenous Studies, Natural Resources, Project Management, Public Administration, or a related field.
- Equivalent combinations of education and experience may be considered.
- Minimum three (3) years of experience coordinating programs or projects.
- Experience managing multiple stakeholders and coordinating complex schedules and logistics.
- Administrative and financial coordination experience.
- Knowledge of Indigenous consultation processes.
- Knowledge of archaeological and environmental monitoring practices is considered an asset.
- Experience working with First Nations communities is considered an asset.
- Proficiency with Microsoft Office Suite, databases, and records management systems.
- Strong organizational, communication, customer service, and problem-solving skills.
- Must possess a valid Ontario Class G Driver's Licence, reliable vehicle, and ability to travel.
- Must maintain a minimum of $1 million automobile liability insurance.
- Must provide a clear Police Records Check and/or Vulnerable Sector Check.
