Office Administrator / Patient Care Coordinator

Location: Collingwood, ON

Quaintrelle Medical Aesthetics is a boutique medical aesthetics clinic dedicated to providing exceptional patient care in a welcoming, professional environment. We are looking for an organized, personable, and proactive Office Administrator to become an integral part of our growing team.

This is an excellent opportunity for someone who enjoys working with people, thrives in a fast-paced environment, and takes pride in keeping a business running smoothly. Employment details (permanent or maternity leave coverage) will be discussed with the successful candidate.

What You'll Do

Welcome and assist patients with professionalism and warmth
Answer phones, emails, and patient inquiries
Manage appointment bookings and provider schedules
Coordinate patient follow-up appointments and communications
Process payments and maintain accurate patient records
Order and manage clinic inventory and supplies
Assist with day-to-day clinic operations and administrative tasks
Support the owner with business organization, scheduling, and operational projects
Help maintain a clean, organized, and efficient clinic environment

Exceptionally organized with strong attention to detail
Comfortable multitasking and prioritizing competing responsibilities
A confident communicator with excellent customer service skills
Self-motivated and able to work independently

Qualifications

Previous experience in an administrative or office management role
Experience in a medical, dental, wellness, or aesthetics clinic is considered a strong asset
Strong computer skills and proficiency with Microsoft Office and online scheduling systems
Experience with electronic medical records or patient management software is an asset
Excellent written and verbal communication skills
