Job Summary

We are seeking a professional and organized Receptionist/Administration Assistant to join our team. Reporting to the Office Manager/Finance Manager this role is essential in providing excellent customer service, managing administrative tasks, and ensuring smooth daily operations within our office. The ideal candidate will be detail-oriented, proficient in office software, and capable of handling multiple responsibilities in a fast-paced environment. Experience with project management software or ability to learn computer software with ease is essential.

Duties

Take calls and book appointments providing exceptional customer service.
Manage multi-line phone systems, screen calls, and direct inquiries appropriately.
Perform data entry and maintain accurate records using Microsoft Office, Service Titan, and QuickBooks.
Handle clerical tasks such as filing, photocopying, scanning, and organizing documents.
Schedule appointments and coordinate calendars for staff or practitioners.
Support administrative functions including proofreading documents and preparing correspondence.
Maintain a clean and organized reception area to ensure a professional environment.
Provide customer support via phone or email, addressing inquiries efficiently and courteously.
Social media and marketing experience an asset.
Skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
Experience with QuickBooks or similar bookkeeping software.
Strong computer skills with the ability to learn new software quickly.
Excellent organizational skills with attention to detail.
Effective phone etiquette and communication skills for front desk interactions.
Ability to perform data entry accurately and efficiently with good typing speed.
Clerical experience in an office setting preferred; experience in medical or dental offices is a plus.
Knowledge of multi-line phone systems and customer service best practices.
Ability to proofread documents for accuracy and professionalism.
Strong organizational skills to manage multiple tasks simultaneously in a busy environment.
Basic industry experience an asset.
