Bookkeeper

Overview

We are a growing and continuously evolving Dental company seeking a team-oriented, ambitious, and proactive individual to join our team as a Bookkeeper. The ideal candidate must be flexible, detail-oriented, organized, and able to adapt to changing business needs and processes. Candidates must have at least 1 year of bookkeeping experience using QuickBooks Online and be capable of handling the bookkeeping requirements of 3–4 companies simultaneously. The successful candidate will work under the direction of the Finance Head. Responsibilities include maintaining accurate financial records, managing accounts payable and receivable, and ensuring compliance with financial regulations. This role is essential for supporting the financial health of our organization and requires a strong understanding of accounting principles and practices.

Duties

Manage day-to-day bookkeeping tasks including accounts payable and accounts receivable.
Perform daily, weekly, and monthly bank reconciliations to ensure accuracy of financial records.
Reconcile credit card transactions and investigate discrepancies when required.
Perform income reconciliation from Open Dental software to QuickBooks Online to ensure collections, deposits, and revenue are properly recorded.
Monitor and reconcile merchant deposits, insurance payments, and patient payments.
Prepare and maintain accurate financial records, reports, and supporting documentation.
Utilize QuickBooks Online for bookkeeping, transaction recording, and financial reporting.
Assist with month-end and year-end closing procedures.
Organize and monitor supply purchasing processes, including tracking invoices, purchase orders, and vendor statements.
Manage accounts payable processes including invoice entry, payment scheduling, and vendor communication.
Coordinate with suppliers and internal departments regarding billing discrepancies and outstanding balances.
Assist in preparing budgets, expense tracking, and financial forecasts.
Maintain organized digital and physical financial files for easy retrieval and audit purposes.
Identify opportunities to improve existing financial and bookkeeping processes to make operations more efficient and effective.
Support the Finance Head with financial analysis and other accounting-related tasks as assigned.
Collaborate with other departments to ensure smooth and efficient financial operations.

Skills & Qualifications

Minimum of 1–2 years of experience using QuickBooks Online is required.
Minimum of 1–2 years of experience using Microsoft Excel Pivot Tables and Power Pivot is required.
Ability to manage bookkeeping functions for 3–4 companies simultaneously.
Strong knowledge of bank reconciliation, accounts payable, accounts receivable, and account reconciliation.
Experience working with Open Dental software or similar dental software is considered an asset.
Proficiency in Microsoft Excel and financial reporting tools.
Excellent attention to detail with strong analytical and problem-solving skills.
Ability to manage multiple tasks efficiently while meeting deadlines.
Strong organizational skills with a commitment to maintaining accurate records.
Effective communication skills for collaborating with team members, vendors, and stakeholders.
A proactive approach to process improvement and operational efficiency.
