Job Summary

The Admissions and Faculty Assistant plays an essential role in the Faculty of Law’s admissions and recruitment operations, supporting applicant intake and processing, tracking application progress and delivering timely, clear communications. They ensure consistent, accurate messaging, and provide responsive, student centred services throughout the admissions cycle. Working in this dynamic, deadline-driven environment, the Admissions and Faculty Assistant helps create a seamless, professional applicant experience and supports the Faculty’s commitment to access, equity and excellence in legal education.

The role also provides backup administrative support to faculty members, instructors, and the academic program, including preparing course materials, maintaining learning platforms, coordinating event logistics, and assisting with the administration of assignments and exams.

Job Requirements

Experience:
This position requires a level of education, training, and experience equivalent to three (3) years of providing administrative or student support in a professional environment, preferably in a post-secondary setting. Preference will be given to applicants with experience working in admissions.

Knowledge/Skills/Abilities:

Commitment to valuing diversity and contributing to an inclusive and respectful working and learning environment.
Strong written and verbal communication skills, with exceptional attention to detail, editing accuracy, and the ability to deliver clear, professional, and consistent messaging.
Experience composing clear and concise communications, including emails, memos, and reports.
Ability to interpret and apply policies and procedures and adapt effectively to procedural and technical changes.
Strong problem solving skills, using sound judgment, critical thinking, and analytical ability.
Ability to communicate effectively with individuals from diverse backgrounds and adapt communication style to different audiences.
Experience processing large volumes of data with a high degree of accuracy and attention to detail.
Proven ability to handle confidential and sensitive information with discretion, integrity, and adherence to privacy requirements.
Ability to work effectively independently and collaboratively within a team environment.
Strong technical aptitude, with the ability to navigate and support a wide range of software, including learning management systems, student information systems, and Microsoft Office (Outlook, Word, Excel).
