Overview

Join our dynamic team as an Office Administrator Assistant and become the vital backbone of our administrative operations! This energetic role offers the opportunity to support daily office functions, streamline processes, and ensure a smooth workflow across departments. Duties

Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Perform data entry tasks accurately using Microsoft Office and Google Workspace tools to maintain up-to-date records
Assist with filing, document organization, and record keeping to ensure easy retrieval and compliance
Support bookkeeping activities using QuickBooks, including invoicing, expense tracking, and basic financial documentation
Provide excellent customer service by responding promptly to inquiries via phone or email and supporting clients or patients as needed
Coordinate appointments, schedule meetings, and maintain calendars for office staff or medical/dental professionals
Handle clerical tasks such as proofreading documents, preparing correspondence, and managing office supplies inventory

Experience

Proven clerical or administrative experience in an office setting, ideally within medical or dental environments
Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with Google Workspace applications
Experience with QuickBooks or similar bookkeeping software is highly desirable
Excellent organizational skills with keen attention to detail in data entry and document management
Demonstrated ability to communicate effectively via phone etiquette and provide outstanding customer support
Familiarity with front desk operations, multi-line phone systems, filing systems, and basic office equipment
Prior experience in medical or dental offices is a plus, including knowledge of medical/dental office procedures and patient confidentiality standards
