Job Summary
Support and improve the effectiveness of our Applications team by owning key support processes, documentation deliverables, and continuous-improvement activities that ensure customer orders move efficiently from purchase order to shipment.
This role administers after-sales support (service quotes, RMAs/repairs, warranty registration, and service documentation), supports sales order setup and coordination, prepares customer documentation packages, and ensures changes and revisions are accurately reflected in customer-facing materials and internal reference resources.
Responsibilities
Sales & Applications support and order lifecycle coordination
- Coordinate intake and setup for new customer orders (documentation requests, folder/setup governance, and internal work tracking).
- Partner with Sales and Applications teams to streamline information flow, identify risks early, and improve decision-making throughout the order lifecycle.
- Maintain and improve Sales and Applications resources (technical information packages, accessory approval lists, and Sales Order documentation forms).
Customer documentation and order support
- Prepare and maintain documentation aligned to sales orders and system configurations.
- Track, communicate, and follow up on order-related issues and discrepancies across Engineering, Production, and Quality.
Customer documentation packages and shipment deliverables
- Prepare customer documentation packages (preliminary, pre-shipment, and final) aligned to milestones and shipped configuration.
- Compile deliverables (manuals and software/media) and ensure version alignment with final test status.
After-sales support administration
- Coordinate after-sales requests with the Support team; communicate clearly and track items through completion.
- Prepare and issue quotes for service/repairs; coordinate RMAs and internal handoffs.
- Support warranty registration and maintain accurate records; create/manage repair and warranty repair orders with complete documentation
Documentation and technical writing (controlled manuals)
- Own quality and clarity of customer-facing documentation (user/maintenance/installation manuals, acceptance tests, and training packages).
- Maintain master and released versions, revision history,
Process improvement and change communication
- Monitor drawing/revision updates and assess documentation impact; ensure current revisions are available and obsolete versions are controlled.
- Help communicate changes across Engineering, Production, Quality, and Sales when impacts or ownership are unclear.
Required Skills & Experience
- Technical writing/editing experience with controlled documents (create, revise, release).
- Strong customer-facing written communication (clear, professional, accurate).
- High attention to detail; able to maintain accurate records across configurations, revisions, quotes, and deliverables.
- Ability to analyze workflows, identify gaps, and drive practical cross-functional improvements.
- Strong coordination skills; comfortable working with Engineering, Production, Quality, Sales, and Support.
- Problem-solving and follow-through to track issues (orders, test, and after-sales) to closure.
Additional Beneficial Skills & Experience
- Build/test documentation experience (e.g., Engineering Test Reports) and coordinating defect tracking/closure.
- Experience coordinating RMAs, warranty workflows, and service/repair quoting in a technical product environment.
- Experience using ERP/CRM or service tools to create and track quotes and repair orders.
- Experience in technical manufacturing/engineering; familiarity with drawing and document revision control.
Salary Range
The expected salary range for this position is $45,000 – $65,000 annually. Compensation may be higher for candidates with exceptional qualifications and directly relevant experience.
