We manage a growing private portfolio of private residential rental properties, including over 100 units in Calgary and Edmonton, Alberta.

Position Summary
We are seeking a highly organized and experienced Property Management Finance & Operations Manager.
We are seeking a highly capable Property Management Operations Manager to act as the owner’s operational right hand across our property management business and related real estate operations.
This role has two main responsibilities:
First, the role owns the immediate financial administration connected to property management, including tenant rent collection setup, monitoring rent deposits, coordinating transfers between the property management account and individual property accounts, processing approved vendor and staff payments, coordinating management fee transfers, and ensuring all payment documentation is complete for bookkeeping.
Second, the role provides broader operational oversight of the property management team and business workflows. This includes managing follow-up with the Property Manager and Leasing Agent, monitoring key performance indicators, identifying issues before they escalate, improving systems, and ensuring the owner receives clear updates on what is moving, what is stuck, and what decisions are required.
While the position includes finance administration and payment workflow oversight, the primary purpose is management, accountability, issue identification, and operational follow-through.
We are looking for someone who can see across the moving parts of the business and help ensure the right people are doing the right things at the right time.

Key Responsibilities
Rent Collection & Banking Administration
- Set up tenant EFT/PAD rent collection workflows.
- Ensure tenant banking forms and rent collection authorization documents are complete.
- Moniter rent deposits
- Track missed rent, failed EFTs, NSF payments, and tenant payment issues.
- Coordinate with the Property Manager on rent collection follow-up.
- Ensure all transfers are properly documented and supported in Buildium software and in internal drives
Vendor, Staff & Operating Payments
- Set up and process approved vendor and staff payments.
- Ensure invoices are approved before payment.
- Maintain a payment calendar for vendors, staff, utilities, property taxes, insurance, management fees, and recurring obligations.
- Flag unclear, unsupported, unusual, or urgent payment items before processing.
Property Management Operations
- Oversee and support the small Property Management team
- Hold regular check-ins to review vacancies, leasing activity, applications, renewals, tenant issues, maintenance, and follow-up items.
- Track leasing and property management performance.
- Identify recurring issues in leasing, rent collection, maintenance, vendor performance, or tenant communication.
- Escalate only true decision items to ownership with clear context, options, and recommendations.
Performance Tracking & KPI Oversight
- Understand and monitor the key operational and financial indicators needed to manage a property portfolio effectively.
- Oversight and reporting of vacancy, leasing activity, rent collection, arrears, maintenance response times, open work orders, tenant turnover, vendor costs, payment timelines, management fee transfers, and unresolved follow-up items.
- Help ensure the Property Manager and Leasing Agent are accountable to the right metrics.
- Prepare updates for ownership highlighting performance, exceptions, trends, and decisions required.
Bookkeeping & Reporting Coordination
- Coordinate with our external bookkeeping firm to provide missing documents, statements, invoices, receipts, and payment confirmations.
- Respond to bookkeeping questions related to payment purpose, property allocation, missing backup, or unclear transactions.
- Track open items waiting on the bookkeeper, Property Manager, Leasing Agent, or owner.
- Support clean month-end workflows by ensuring banking and payment documents are provided.
Systems, SOPs & Process Improvement
- Use ClickUp a project management tool to track recurring tasks, deadlines, approvals, and team accountability.
- Help create and maintain SOPs for rent collection, payments, transfers, vendor approvals, document filing, reporting, and team workflows.
- Maintain organized Google Drive folders and ensure documents are saved consistently.
- Improve processes so fewer issues rely on the owner to remember, chase, or catch.
- Bring forward practical ideas to improve efficiency, reduce missed items, and create better visibility.
Required Experience
- Previous experience using a commercial online banking platform is required.
- Experience with rent collection, EFT/PAD payments, vendor payments, or bank transfer workflows.
- Property management, real estate operations, finance operations, banking, or multi-property administration experience.
- Experience managing or supervising staff, contractors, leasing agents, administrative team members, or similar roles.
- Strong comfort with Google Workspace, spreadsheets, email, and cloud-based file systems.
- Strong written communication and follow-up skills.
- Ability to handle confidential financial and tenant information with discretion.
- Ability to work independently and manage recurring responsibilities without constant direction.

- QuickBooks Online experience

Schedule
Part-time, approximately 20-25 hours per week to start, with the potential to settle into 15-20 hours per week once systems and workflows are established.
Flexible daytime hours are available, but regular weekday availability is required for banking, team communication, payment workflows, and follow-up.
Work Location
Primarily work from home. Calgary or Edmonton-based candidates are preferred.
Compensation
$25-$35/hour, depending on experience.
