Position Overview
This role combines commercial real estate business development, marketing coordination, transaction management, lease administration, and operational support.
Working directly with the Founder and Broker of Record, as well as other members of the organization, the successful candidate will help coordinate active listings, support client relationships, manage marketing initiatives, assist with transactions, and contribute to the continued growth of the business.
This position offers significant exposure to commercial real estate, business development, operations, project management, entrepreneurship, and leadership.
Key Responsibilities
Business Development & Client Outreach
- Develop and maintain prospect databases for tenants, landlords, investors, developers, and healthcare users.
- Create and execute outbound marketing campaigns.
- Re-engage historical clients and dormant relationships.
- Build call lists and prospecting campaigns.
- Conduct outreach by phone, email, LinkedIn, and other marketing channels.
- Support recruiting initiatives for brokerage growth.
- Coordinate LinkedIn outreach and professional networking campaigns.
- Assist in identifying new business opportunities and market trends.
- Maintain accurate CRM records and client activity tracking.
Listing Management & Marketing
- Manage active listings across MLS, CoStar, LoopNet, brokerage websites, and other marketing platforms.
- Coordinate listing launches and marketing campaigns.
- Prepare brochures, marketing packages, and presentations.
- Coordinate photography, floor plans, signage, and marketing materials.
- Manage social media calendars and content scheduling.
- Monitor listing performance and recommend improvements.
- Assist with proposal preparation, presentations, and RFP submissions.
- Ensure all listings remain accurate, current, and professionally presented.
Transaction Coordination & Real Estate Administration
- Draft Letters of Intent, Offers to Lease, Agreements to Lease, Commission Agreements, and related documentation.
- Prepare and manage OREA forms and brokerage records.
- Review transaction documentation for accuracy and completeness.
- Track transaction milestones, deadlines, conditions, and critical dates.
- Coordinate due diligence activities.
- Manage transaction files from assignment through completion.
- Coordinate with clients, lawyers, consultants, landlords, tenants, and other stakeholders.
- Ensure compliance with TRESA requirements and brokerage procedures.
Lease Administration & Due Diligence Support
- Review commercial leases and summarize key business terms.
- Track commencement dates, renewal dates, notice periods, termination rights, and critical lease deadlines.
- Assist with lease abstracting and document management.
- Coordinate due diligence requests and document collection.
- Prepare client-facing summaries and reports.
- Maintain organized transaction and property records.
Executive & Operational Support
- Assist with strategic initiatives and special projects.
- Coordinate project tracking and follow-up activities.
- Prepare meeting materials and briefing notes.
- Conduct market research and competitive analysis.
- Support recruiting and business growth initiatives.
- Help improve internal systems, processes, and workflows.
- Identify opportunities to improve efficiency and client service.
Qualifications
Required
- Active RECO registration.
- Minimum 2 years of commercial real estate experience.
- Strong understanding of commercial leasing and sales transactions.
- Experience preparing real estate agreements and transaction documentation.
- Excellent written and verbal communication skills.
- Exceptional organizational abilities.
- Strong attention to detail.
- Ability to manage multiple priorities simultaneously.
- Proficiency with Microsoft Office and CRM systems.
Preferred
- Experience using CoStar, MLS, LoopNet, Canva, and social media management tools.
- Experience reviewing commercial leases and transaction documentation.
- Exposure to office, industrial, healthcare, investment, or development-related real estate.
- Project management experience.
- Experience with outbound business development or marketing initiatives.
