About the Role

We are seeking a highly organized, proactive, and detail-oriented Administrator to join our team in St. John’s, NL. This role is essential to ensuring the smooth day-to-day operations of our office while supporting both administrative and accounting functions.

The successful candidate will thrive in a fast paced environment, demonstrate strong attention to detail, and bring a positive, team oriented attitude. From day one, you will actively be engaged in supporting operations, client communication, and internal coordination.

Key Responsibilities

Provide daily administrative support to staff and management
Manage calendars, appointments, and meeting coordination
Prepare, edit, and format correspondence, reports, and documents
Answer and direct phone calls, emails, and client inquiries
Maintain organized digital and physical filing systems
Prepare project files and maintain documentation
Order and manage office supplies and inventory
Coordinate shipments, couriers, and incoming/outgoing mail
Greet clients and provide general information about services
Attend meetings and prepare minutes as required
Assist with bookkeeping tasks including invoicing, expense tracking, and data entry
Support accounts receivable and collections activities
Assist with travel arrangements and logistics
Handle confidential information with discretion and professionalism
Perform other administrative duties as required

Qualifications

Office Administration or Business diploma considered an asset
Minimum 1 year of experience in an administrative or related role
Strong proficiency in Microsoft Office 365 (Word, Excel, Outlook)
Excellent organizational, time management, and multitasking abilities
Strong written and verbal communication skills
High attention to detail and problem-solving ability
Ability to work effectively in a fast-paced, deadline-driven environment
Demonstrated professionalism, initiative, and reliability
Keyboarding speed of 60 wpm considered an asset

Assets

Experience with accounting software (e.g., Sage 50)
Experience with invoicing, receivables, or bookkeeping
Customer service experience
Familiarity with office management procedures
3–5 years of administrative experience is considered an asset

Additional Requirements

Must have a valid driver’s license and access to a reliable personal vehicle
Must be able to be insured and operate a company vehicle if required
