Summary of Maintenance Manager's Responsibilities
Under the direction of the Hotel Manager, the Maintenance Manager is responsible for overseeing and coordinating installation, maintenance and repair work throughout Executive Hotel’s locations as required. This role is also responsible for leading a small team of 2-3, whilst also performing hands-on maintenance technician functions as required. you will coordinate and carry out routine, preventive, and emergency maintenance and repairs both inside and outside the hotel. Your goal is to ensure the smooth and efficient operation of hotel functions, optimizing performance and the economy of hotel operations.
Responsibilities and essential job functions include but are not limited to the following:
- General:
- Provide professional and friendly service to guests
- Respond to shift report emails pertaining to maintenance issues, and work with Housekeeping and Guest Services to resolve issues
- Is intuitive to guest needs, anticipates needs in job performance, and able to find guest centric solutions.
- Assign the work of general maintenance technicians
- Promote communication as well as good relations between maintenance and all other company departments
- Source pricing and quotes for all maintenance items and contractor work as required
- Manage and update inventories and other supplies as needed
- Keeps departmental budget under the direction of the Hotel Manager
- Submits requisition for needed supplies in line with forecast and budget and outside services for approval
- Determine material, equipment, and supplies to be used. Transfers equipment and personnel from one project to another as necessary
- Maintains a file of all equipment repairs and vendors that have serviced equipment.
- Maintains all tools, equipment and supplies in a secure area, keeps inventories and issues purchase orders when supplies need to be ordered
- Maintain a list of hotel owned equipment and tools with binder of warranties and copies of receipts attached.
- Maintain an organized manual of hotel suppliers and service providers with all relevant details of items and pricing i.e. paint colors, size of bulbs, wallpaper, FF&E related items. Note if the hotel keeps attic stock of carpet and wallpaper and where it is stored.
- Contribute maintenance information to strategic plans, projects and reviews
- Follow company policies and procedures
- Ensuring all important information is passed along to all relevant staff.
- Employees may be required to perform other related duties as needed to meet the ongoing needs of the organization.
- Attends any meetings or training sessions/courses as required
- Continuously evaluates the performance of maintenance staff and takes corrective actions when necessary
- Ensures local law compliance such as per provincial and Local laws and building codes
- Conducts regular departmental meetings
- Such other projects requested from time to time by the Company.
Maintenance:
- Conducts routine inspections and walk through of all hotel rooms and public areas.
- Perform hands-on maintenance-related duties including but not limited to general repairs, electrical maintenance, painting, patching walls, security hardware, hanging shelves and landscaping
- Complete maintenance jobs in accordance with the highest standards of quality and efficiency, whilst actively tracking for projects and hourly repairs and maintenance
- Develops, implements and monitors a preventive maintenance program of all building equipment and guestrooms
- Work with outside contractors for in-suite and property jobs
- Coordinate maintenance projects as required
- Evaluate problematic systems or facilities and determine what installation or repair services need to be performed
- Ensure prompt repairs by responding to emergency situations, and reassign work priorities as required
- Manage and improve maintenance processes as required
- Maintain maintenance costs and revise as required
- Ensure productivity, and quality of work standards are maintained throughout maintenance department
Safety:
- Maintain a safe and healthy work environment by following standards and procedures; ensure compliance with legal codes and regulations; and investigate accidents or health and safety-related incidents and prepare relevant reports
- Ensures that all potential and real hazards are reported appropriately and immediately
- Fully understands the hotel’s Emergency Plan. Follows emergency procedures to provide for security and safety of guests and employees
- Leads the property Fire Safety program.
Daily:
- Assess guest needs and be pro-active in offering services.
- Daily stand up team meeting for a minimum of 5 minutes. Review high priority items for the day (i.e. special deliveries, repairs, trades on site, urgent fixes)
- Check with the front desk each morning for a list of vacant rooms to commence ‘Maintenance Walk-throughs’
- Ensure all team members are properly groomed, uniform is neat and name tags are on.
- Coordinate all guest communications with front desk team
- Ensure proper follow up of guest issues in the internal communication system and that issues are looked after in a timely manner. When entering guest room, leave a “While You Were Out” card stating team member name, the time, the reason for entering the room and whether the issue was fixed.
- Ensure lightbulbs are all working. Burnt lightbulbs are to be replaced daily with proper color bulbs (warm light 2700K color)
Weekly:
- On Mondays no later than 11am, walk the exterior and interior grounds of the property with the Hotel Manager with checklist to inspect all visible areas and review priorities and progress
- Check all lit signage around the property is working properly. Repair immediately.
- Landscaping and planters are to be inspected in detail no less than 1X per week and all dead foliage, pruning, and weeding is to be executed immediately.
Annual:
- Exterior windows and frames are to be cleaned no less than 2X per year.
- Preventative maintenance on HVAC, heating and air conditioning systems, prior to the start of the summer and winter seasons.
- Perform maintenance & cleaning of ovens, saunas, fireplaces, washroom vent fans
- Demonstrates a team mentality/work ethic
Requirements:
- Significant (6+ years) maintenance work experience
- Experience in leading a team
- Demonstrated project management skills
- Exceptional customer service skills
- Strong communication skills to interact with different groups of people effectively
- Possess high level of safety awareness
- Intermediate to advanced computer skills
- Able to effectively handle stress and be flexible when the need arises
- Able to efficiently self-manage work-load
- Clear communication in English, both written and verbal
- Valid BC Driver’s license
- Eligibility to work in Canada
- Must be available to work varying shifts, a flexible schedule, relevant to the needs of the hotel.
Working Conditions:
- Position requires flexibility in shifts and schedule and evening/weekend work required.
- Extensive physical activity and lifting on a daily basis to complete position requirements as above.
- Must be physically capable of performing the physical requirements of the position, including twisting, turning, bending, lifting and standing for extended periods.
Physical aspects of the position include but are not limited to the following:
- Constant standing and walking throughout shift
- Frequent lifting and carrying up to 30 lbs.
- Frequent kneeling, pushing, pulling, lifting
- Occasional ascending or descending ladders, stairs and ramps
- Must be physically capable of performing repetitive work
