Job Overview

We are seeking a highly organized and detail-oriented Office Administrator to join our growing team. The successful candidate will be responsible for providing administrative support, preparing purchase orders, coordinating purchasing activities, and maintaining accurate records. This is an excellent opportunity for someone who is proficient in Microsoft Office, enjoys working with spreadsheets, and thrives in a fast-paced office environment.

Key Responsibilities

Prepare, issue, and track purchase orders for various projects.
Coordinate with suppliers to obtain quotations, place orders, and follow up on deliveries.
Maintain purchasing records, invoices, and project documentation.
Update and manage Excel spreadsheets and databases.
Perform general office administration duties including filing, scanning, and document management.
Assist with data entry, reporting, and record keeping.
Answer telephone calls and emails professionally.
Coordinate with project managers and other departments to ensure timely procurement of materials.
Maintain office supplies and assist with other administrative tasks as required.

Qualifications

Previous experience in an Office Administrator, Administrative Assistant, or similar role.
Strong proficiency in Microsoft Excel, Word, Outlook, and other MS Office applications.
Experience creating and managing purchase orders is an asset.
Excellent organizational and time management skills.
Strong attention to detail and accuracy.
Ability to prioritize multiple tasks and meet deadlines.
Excellent verbal and written communication skills.
Experience in the construction, manufacturing, or building materials industry is an asset but not required.
