Position Overview
We are seeking an Administrative Assistant and Billing Specialist to join our team. This role combines billing support, client outreach, and administrative responsibilities. You will work closely with clients to address billing inquiries, verify account information, obtain marketing consents, and ensure our records remain accurate and up to date.
The ideal candidate is organized, comfortable speaking with clients by phone, detail-oriented, and passionate about delivering outstanding customer service.
Key Responsibilities- Billing Support
- Respond to client billing inquiries via phone, email, and in person.
- Explain billing processes, payment options, and account details.
- Assist with payment arrangements and resolve billing discrepancies.
- Follow up on outstanding balances and payment-related concerns.
Client Outreach & Record Verification
- Contact existing clients to verify and update personal and policy information.
- Obtain and document marketing and communication consents in accordance with company policies and regulatory requirements.
- Review client records to ensure accuracy, completeness, and compliance.
- Identify opportunities to improve client contact information and communication preferences.
Administrative Support
- Maintain accurate client records and documentation.
- Assist with data entry, file management, and administrative reporting.
- Support the agency team with day-to-day office operations.
- Manage inbound communications and ensure client requests are handled promptly.
Customer Service Excellence
- Build strong relationships with clients through professional, friendly, and proactive communication.
- Deliver exceptional service while maintaining confidentiality and professionalism.
- Help create a positive client experience that reflects our agency's values and commitment to service.
Qualifications
- Previous experience in customer service, billing, collections, administration, or an office support role is preferred.
- Strong verbal and written communication skills.
- Comfortable making outbound client calls and handling sensitive conversations professionally.
- Exceptional attention to detail and organizational skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with Microsoft Office (Outlook, Word, Excel) and CRM or database systems.
- Ability to work independently while contributing positively to a team environment.
- Experience in the insurance or financial services industry is considered an asset.

Pay: $35,000.00-$50,000.00 per year
