The Role: Mechanical Service Coordinator
In this role, you will be the air traffic control for our Mechanical Service Team. Working closely with our Lead Service Coordinator and Service Manager, you will support our clients in an administrative capacity, ensuring our field technicians are exactly where they need to be. We are looking for an organized and methodical individual who wants to bring their skills to a FUN and CHALLENGING environment.
Key Duties and Responsibilities:
- Service Orchestration: Coordinate all aspects of service processes, including detailed appointment creation, scheduling, and dispatching.
- Call Management: Receive emergency and non-emergency calls via phone and email, accurately recording all significant information.
- Strategic Dispatching: Prioritize service requests by urgency and assign technicians based on their specific capabilities and logistical efficiency.
- Problem Resolution: Quickly address requests by compiling relevant data and relaying it to project managers, sales staff, and technicians.
- Customer Excellence: Provide a high level of service by communicating scheduling lead times and appointment confirmations to clients.
- Detailed Documentation: Demonstrate strong attention to detail when opening new work orders and tracking job approvals and historical data.
- Departmental Link: Act as the direct bridge between the company and our customers, ensuring technician attendance and project status are effectively communicated.
- Financial Support: Assist the Accounts team by providing relevant historical information to process receivables and payables effectively.
What You Bring to the Table:
- Dispatching Experience: At least one (1) year of experience in a dispatching role, preferably within the Skilled Trades or Service industry.
- Administrative Background: Minimum of one (1) year of administrative experience.
- Technical Tools: Highly organized with proficient use of Excel, collaborative calendars, and project management software.
- Problem-Solving DNA: An innate problem solver who can analyze situations and produce creative, effective solutions on the fly.
- Communication Skills: Excellent verbal and written interpersonal skills for professional correspondence with customers and internal teams.
- Team Mindset: Works exceptionally well in a group setting where multiple personnel are contributing to a single goal.
- Asset: Previous experience in invoicing is considered a strong asset.
Salary: 55,000.00 - 70,000.00 Annually
