Part-Time Front Desk Clinic Administrator (Medical Receptionist)

15–20+ hours per week | Permanent, in-person role

The Rehab Grid is a multidisciplinary rehabilitation clinic located in North York, dedicated to delivering modern, patient-centered care. Our team focuses on restoring function, improving mobility, and enhancing long-term wellness through high-quality physiotherapy and rehabilitation services.

We take pride in providing individualized treatment plans, supporting our community’s health, and fostering a collaborative and positive clinic environment. As we grow in our new location at 1865 Leslie Street, we are excited to welcome a Part-Time Front Desk Clinic Administrator to our team.

Position Overview

We are seeking a friendly, organized, and proactive professional who excels in customer service, communication, and clinic administration. This role is essential in creating a smooth and welcoming patient experience both in person and over the phone.

Key Responsibilities

Patient Communication & Customer Service

Answer incoming phone calls and emails in a timely and professional manner
Assist patients with inquiries, bookings, and clinic information
Manage appointment changes, cancellations, and follow-ups

Front Desk Reception

Greet and check in patients in a warm and professional manner
Maintain a welcoming, organized, and efficient front desk environment

Scheduling & Coordination

Book, reschedule, and optimize patient appointments
Coordinate practitioner schedules to ensure smooth clinic flow

Medical Administration

Maintain accurate and confidential patient records
Work within electronic health record (EHR) systems

Billing & Insurance

Process payments and issue receipts
Handle direct insurance billing and related patient inquiries

Clinic Support

Assist with general administrative duties as needed
Help maintain a clean, organized, and professional clinic environment

Qualifications

Required Skills & Experience

Strong communication and interpersonal skills
Professional phone etiquette and clear written communication
Experience in customer service, medical reception, or clinic administration
Comfortable working with scheduling systems and electronic records

Technical Skills

Proficiency with computers and office tools (Google Drive, Excel, etc.)
Ability to learn and navigate EHR systems quickly

Professional Attributes

Strong organizational and multitasking abilities
High attention to detail
Ability to handle sensitive and confidential information with discretion
Legally eligible to work in Canada
English fluency required

Assets

Experience in a healthcare or medical clinic setting
Experience with direct insurance billing
