Rassaun Services Inc. is a family-owned and operated industrial construction contractor with a proud 60-year history. The Opportunity

We're looking for an organized, detail-oriented Office Administrator to keep our front office running smoothly. Working under limited supervision, you'll be the welcoming first point of contact for visitors and callers while handling the day-to-day accounting that keeps our business on track.

This is a varied, fast-paced role that's perfect for someone who enjoys wearing multiple hats and takes pride in a team oriented office. You'll also serve as a liaison for contractors, building security, maintenance, and service providers.

What You'll Do

Reception & front office

Answer incoming calls, screen them, and direct them to the right person
Welcome on-site visitors and announce them to the appropriate staff
Field questions about the organization and provide directions, contact details, and general information
Sort and distribute incoming mail and courier packages, and process all outgoing mail and couriers
Keep office supplies stocked
Miscellaneous tasks for management.

Accounting & finance

Enter and review all accounts payable invoices and prepare payments.
Prepare monthly Visa payments and manage petty cash
Provide responses to vendors collections calls
Assist with monthly account reconciliations and review accounting discrepancies
Complete various month-end duties by assigned deadlines
Generate required reports

What You Bring

A college diploma or certificate, or one to three years of related experience and/or training, or an equivalent combination of education and experience
Proficiency with computer applications and accounting software
Strong communication skills and the ability to interact effectively with customers, vendors, employees, and upper management
Excellent organization and the flexibility to balance phones, front-desk visitors, and staff needs while adjusting priorities on the fly
A sharp eye for detail — comfortable reading and interpreting documents and labels, calculating figures, and keeping clear, accessible records
The ability to work independently while collaborating as a team player to keep the office running smoothly

Working Conditions

You'll work in a well-ventilated, open-concept office with comfortable lighting and temperature, using standard office equipment such as computers, photocopiers, fax machines, and phones.

The role involves limited physical effort, including standing, sitting, walking, bending/stooping, and occasional lifting or carrying of items (1–30 lbs). It calls for frequent mental engagement — critical thinking, problem solving, and regular interaction with employees and management.
