Full job description

Overview
Moonfleet Group of Companies provides services to numerous poultry farms across Ontario and is looking for an Office Administrator – Dispatch. This role provides vital administrative support to dispatch operations, ensuring seamless communication, accurate documentation, and effective coordination. This role not only handles routine office tasks but also serves as a key backup to the Dispatcher, assisting with scheduling, logistics, and driver coordination as needed. Success in this position requires strong organizational skills, adaptability, and clear communication. The schedule for this position will be Monday to Thursday 11am to 7pm and Friday 8am to 4pm, with the availability to cover other shifts as needed.

Scheduling & Logistics:

Print and review daily schedules, verify travel distances, and assess for potential setup time issues
Communicate recommended changes to pick-up times and house sheets, update documents as necessary
Support dispatch with schedule adjustments and pickup time modifications

Dispatch Backup:

Assist dispatch team upon request and when coverage is required
Locate delayed trucks, communicate updated run details, and help make scheduling changes
Distribute farm maps, pickup times and critical updates with teams
Compile and send detailed email handoffs to document run information

Communication & General Support:

Ensure smooth coordination between dispatch, drivers, and farms
Answer calls, texts, and emails related to dispatch operations
Respond to inquiries and maintain organized communication records
Confirm locations, contact details, and road/barn access information
Maintain catcher contact information within the Moonfleet site and communicate to other departments as needed
Update and create farm maps by gathering current information from farmers
Ensure accuracy of mapping data and notify schedulers of relevant updates

Office Support:

Process crew vacation requests to ensure adequate schedule coverage and update schedules
Update daily farm schedules in the paperwork tracker
Save and organize run sheets, flock reports, kilometer logs, and financial documentation
Maintain wait time tracker by recording accurate notes
Prepare and distribute required PPE for crews
Fulfill supply request orders for crews and houses
Maintain records and organize all required paperwork

Qualifications:

High school diploma or equivalent
2+ years of experience in dispatching or logistics coordination
Strong knowledge of Ontario road systems and traffic patterns
Aptitude or willingness to learn Drivers Hours of Service legislation
Excellent multitasking and time management abilities
Proficiency with dispatch software and Microsoft Office
Familiarity with dispatch processes and rural route mapping preferred
Strong organizational and communication skills
