Job Summary

We are seeking a dynamic and organized Front Office Receptionist specializing in Transportation to join our team! In this vital role, you will serve in the central hub of our fleet reception area. This role handles traditional front-desk duties while managing critical data entry across our garage management, accounting, and dispatch systems to ensure maximum fleet uptime and accurate billing.

Duties

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
Manage multi-line phone systems with professionalism, answering inquiries and directing calls efficiently.
Schedule transportation arrangements for staff, clients, and deliveries using relevant software tools.
Input maintenance logs into the Garage Management System, update vehicle statuses in dispatch software, and log invoices into the accounting system.
Open, update, and close shop work orders, ensuring technician notes and parts used are accurately recorded.
Maintain accurate data records of transportation related documentation through data entry.
Coordinate with maintenance and transportation vendors to confirm schedules and resolve any issues that arise.
Support administrative functions by managing office supplies, maintaining cleanliness of the front desk area, and assisting with general office duties as needed.

Experience

Proven clerical or administrative experience in an office setting, preferably within transportation or logistics environments.
Strong computer skills including proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and familiarity with QuickBooks or similar bookkeeping software is a plus.
Excellent organizational skills with keen attention to detail for data entry and record keeping.
Familiarity with trucking, logistics, or heavy-duty diesel mechanics is highly preferred.
Demonstrate ability to handle confidential information discreetly while maintaining accuracy in documentation.
Ability to adapt quickly to changing priorities while maintaining a positive attitude and delivering excellent customer support.
Experience with Truck Mate, AS400, dispatch and Garage Management systems considered a strong asset
Bilingual considered a strong asset

Pay: $18.50-$24.00 per hour
