Job Overview

We are seeking a reliable, organized, and professional Bookkeeper / Administrative Assistant.

This is a combined position supporting two related businesses. The successful candidate will primarily provide bookkeeping, accounting, tax, and administrative support for an accounting firm. They will also assist a mental health clinic with payment collection and provide front-desk coverage when the clinic’s current administrator is away.

The ideal candidate is comfortable working with numbers, communicating with clients and patients, handling confidential information, and managing a variety of responsibilities.

Responsibilities

Complete bookkeeping and data entry for business clients
Perform bank and credit card reconciliations
Maintain accounts payable and accounts receivable records
Assist with payroll and government remittances
Prepare bookkeeping files for financial statements and tax returns
Assist with personal and corporate income tax returns
Communicate with clients regarding missing information and documentation
Organize and maintain electronic client files
Provide general administrative support
Collect and process patient and third-party payments
Follow up on outstanding accounts
Prepare invoices, receipts, and account statements
Provide front-desk coverage when the current administrator is away
Greet patients and respond to general inquiries
Answer telephone calls and emails
Schedule, confirm, and adjust appointments
Assist patients and clinicians with administrative matters
Maintain accurate and confidential patient information

Qualifications

Previous bookkeeping or accounting experience
Experience with QuickBooks Online or similar accounting software
Strong computer skills, including Microsoft Office and email
Excellent organizational and time-management skills
Strong attention to detail and accuracy
Professional written and verbal communication skills
Comfortable collecting payments and following up on overdue accounts
Ability to work independently and manage changing priorities
Ability to maintain strict confidentiality

Assets

Experience preparing personal or corporate income tax returns
Payroll experience
Experience working in an accounting, medical, counselling, or professional office
Experience using Jane App

About You

You are dependable, friendly, and comfortable taking initiative. You can move between bookkeeping and administrative responsibilities while maintaining accuracy and professionalism. You are also comfortable interacting with accounting clients, patients, healthcare professionals, and other staff.
