Full job description

Adecco is currently hiring an Administrative Assistant (Maintenance) for a temporary contract opportunity. This role is ideal for an organized administrative professional with strong attention to detail and the ability to support maintenance operations in a fast-paced environment. If you enjoy coordinating requests, managing documentation, and working with internal teams and vendors, this could be a great opportunity for you.
In this position, you will provide administrative support to the maintenance team by managing purchase order requests, reviewing invoices, and maintaining accurate maintenance records.

Pay Rate: $24.50/hour
Location: Saint John, NB
Schedule: Monday to Friday, 8:00 AM - 5:00 PM
Employment Type: Full-Time Temporary Contract (4-6 months)

Responsibilities

Create work orders within the maintenance system to support purchase order creation for maintenance vendors.
Monitor the maintenance team inbox, review incoming requests, and triage requests appropriately.
Review vendor invoices and code parts and labour according to VMRS coding requirements.
Ensure accurate capture of maintenance costs and related information within the maintenance system.
Support administrative processes related to maintenance operations and vendor management.
Maintain accurate documentation and records while ensuring information is properly organized.
Collaborate with internal teams and external vendors to support daily maintenance activities.
Perform other administrative duties as required to support the maintenance department.

Qualifications

Must be eligible to work and reside within Canada
Minimum of one (1) year of administrative experience required.
Previous experience in the transportation industry is considered an asset.
Strong communication and interpersonal skills.
Excellent attention to detail and accuracy.
Strong organizational and time management skills with the ability to manage multiple priorities.
Ability to multitask, adapt to changing priorities, and learn new processes quickly.
Strong computer skills, including proficiency with Microsoft Office Suite.
Ability to work independently while contributing effectively as part of a team.
