Overview

We are seeking a highly organized and proactive Business Assistant to support our daily operations and administrative functions. The ideal candidate will possess strong clerical skills, excellent communication abilities, and proficiency with various office software. This role offers an opportunity to contribute to a dynamic team environment, ensuring smooth business processes and exceptional customer service.

Duties

Manage and maintain schedules using Microsoft Outlook Calendar and Google Workspace to coordinate appointments and meetings.
Handle incoming calls with professional phone etiquette, directing inquiries appropriately via phone or email systems.
Perform data entry, filing, Microsoft Office, and Office experience.
Assist with front desk responsibilities, including greeting visitors and managing office supplies.
Proofread documents for accuracy and clarity before distribution.
Use DocuSign for electronic signatures on contracts and important documents.
Support administrative projects such as organizing files, preparing reports, and managing correspondence.
Provide exceptional customer service by responding promptly to client inquiries and supporting client needs.

Requirements

Proven administrative experience, ideally within an office environment.
Proficiency in Microsoft Office (Word, Excel), Google Workspace, and familiarity with website searching systems.
Strong organizational skills with the ability to prioritize tasks efficiently.
Excellent typing speed and data entry accuracy.
Experience with bookkeeping and basic accounting practices preferred.
Exceptional attention to detail with proofreading skills.
Strong communication skills, including professional phone etiquette.
Ability to handle confidential information discreetly.
Prior office experience is a plus; familiarity with front desk operations is desirable.
