We are looking for a detail-oriented Accounts Payable / Payroll Administrator to support our finance and administrative functions. This is an important role for someone who enjoys accuracy, organization, confidentiality, and working closely with others to keep regular financial and payroll processes running smoothly.
About the Role
The Accounts Payable / Payroll Administrator will be responsible for processing vendor invoices, supporting payroll administration, maintaining accurate records, and assisting with general accounting and office administration tasks. The successful candidate will be comfortable managing recurring deadlines, working with sensitive information, and supporting a busy production-based workplace.
Key Responsibilities
Accounts Payable
- Receive, review, code, and enter vendor invoices accurately and on time
- Match invoices to purchase orders, packing slips, or approvals where applicable
- Prepare payment runs, including cheques, EFTs, or online payments
- Reconcile vendor statements and follow up on discrepancies
- Maintain organized AP records and supporting documentation
- Respond to vendor inquiries in a professional and timely manner
- Assist with month-end AP reporting and accruals as required
- Other duties as assigned
Payroll Administration
- Prepare and process payroll for hourly and salaried employees
- Review timecards, regular hours, overtime, vacation, sick time, and other payroll-related adjustments
- Ensure payroll information is accurate and submitted by required deadlines
- Maintain payroll records in accordance with company and legislative requirements
- Support ROEs, T4s, payroll remittances, and year-end payroll activities
- Respond to employee payroll questions with professionalism and confidentiality
General Accounting & Administration
- Assist with bank and credit card reconciliations
- Maintain electronic and paper-based filing systems
- Support internal reporting and basic data entry as needed
- Assist with finance-related projects and office administration
- Work closely with management, production, and customer service teams to resolve billing, payment or payroll-related questions
What We’re Looking For
- Previous experience in accounts payable, payroll, bookkeeping, or a similar finance administration role
- Preference will be given to those with ADP payroll experience
- Strong attention to detail and accuracy
- Ability to maintain confidentiality and handle sensitive information appropriately
- Comfortable working with deadlines and recurring processes
- Strong organizational and follow-up skills
- Good communication skills and a helpful, team-oriented approach
- Proficiency with Microsoft Office, especially Excel and Outlook
- Experience with accounting or payroll software is an asset
- Experience in a manufacturing, print, production, or similar environment is an asset
Qualifications
- Education or training in accounting, bookkeeping, payroll, business administration, or a related field is preferred.
- A Payroll Compliance Professional (PCP) designation, or progress toward the designation, would be considered an asset.
- Working knowledge of Ontario payroll standards and basic employment legislation is an asset.

Pay: $60,000.00-$70,000.00 per year
