Phoenix Industrial Group of Companies is seeking a detail-oriented and highly organized Quality Control Administrator to join our Quality team. Reporting to the Quality Manager, the Quality Control Administrator is responsible for supporting the implementation, maintenance, and continuous improvement of the Company's Quality Management System (QMS) while ensuring compliance with client specifications, regulatory requirements, and internal quality standards.
The successful candidate will provide administrative and technical support to the Quality Manager and Quality Inspectors by managing quality documentation, coordinating turnover packages, supporting inspections and audits, assisting with weld mapping and NDE tracking, and maintaining document control throughout all phases of industrial construction projects.
This role plays a critical part in ensuring project quality documentation is accurate, complete, and delivered in accordance with contractual requirements while supporting Phoenix's commitment to safety, quality, and operational excellence.

Key Responsibilities
Quality Management System (QMS)
- Support the implementation, maintenance, and continual improvement of Phoenix Industrial Group of Companies' Quality Management System (QMS).
- Ensure quality processes are followed in accordance with company procedures, client specifications, applicable codes, and industry standards.
- Promote quality awareness throughout the organization and support quality initiatives across project teams.
- Assist in maintaining quality records and ensuring compliance with ISO standards, client requirements, and internal procedures.
Quality Administration
- Review project scope, specifications, and quality requirements during project execution and closeout.
- Verify the completeness, accuracy, and integrity of quality documentation prior to submission.
- Assist the Quality Manager and Quality Inspectors with daily administrative and project-related activities.
- Prepare, organize, and maintain quality records in accordance with project requirements.
- Support project teams by ensuring quality documentation is current, accessible, and properly filed.
Document Control
- Maintain project document control systems throughout the project lifecycle.
- Stamp, log, distribute, and track controlled drawings, specifications, procedures, and project documentation.
- Manage document revisions and ensure only current revisions are distributed and utilized.
- Prepare and issue document transmittals for internal and external stakeholders.
- Maintain Request for Information (RFI) logs and monitor document status.
- Ensure documentation is retained in accordance with company policies and project requirements.
- Conduct periodic internal audits of document control processes to verify compliance with established procedures.
- Assist management in ensuring document control procedures are understood and consistently followed.
Turnover Documentation
- Develop, compile, and maintain project turnover packages.
- Create and populate turnover dossiers in accordance with client and contractual requirements.
- Ensure turnover documentation is progressively completed throughout project execution.
- Coordinate with Quality Inspectors, construction teams, engineering, and project management to obtain required documentation.
- Verify that turnover packages are complete, accurate, and submitted on schedule.
Inspection & Quality Support
- Assist Quality Control personnel with weld mapping activities.
- Support the determination and tracking of Non-Destructive Examination (NDE) requirements.
- Maintain inspection records and support inspection scheduling as required.
- Assist in identifying, documenting, and reporting non-conformances.
- Track corrective actions and ensure quality records are maintained.
Audit Support
- Assist the Quality Management team in preparing for internal, external, and client audits.
- Organize quality documentation required for audits.
- Support audit activities by providing requested documentation and maintaining audit records.
- Participate in corrective action follow-up resulting from audit findings.
Collaboration & Communication
- Work closely with Quality, Construction, Engineering, Project Controls, and Client representatives to ensure project quality objectives are achieved.
- Communicate effectively with project stakeholders regarding documentation status and quality requirements.
- Provide administrative support to ensure timely completion of quality deliverables.
Safety Leadership
- Demonstrate a strong commitment to workplace health and safety.
- Lead by example by promoting and fostering a positive safety culture.
- Follow all company safety policies, procedures, and site-specific requirements.
- Participate in safety meetings, training, and continuous improvement initiatives.
Additional Responsibilities
- Perform other duties as assigned in support of Quality Management and project execution.
- Contribute to continuous improvement initiatives within the Quality department.
- Support multiple projects simultaneously while meeting established deadlines.
Qualifications
- Post-secondary education in Business Administration, Quality Management, Engineering Technology, or a related discipline is considered an asset.
- Minimum 2–5 years of experience in Quality Control Administration, Document Control, or Quality Assurance within the industrial construction, oil & gas, fabrication, or energy sectors.
- Experience working with Quality Management Systems (QMS).
- Strong understanding of industrial documentation and turnover processes.
- Experience supporting pressure piping, structural steel, fabrication, or maintenance projects.
- Knowledge of CSA, ASME, API, or other applicable industry codes and standards.
- Familiarity with Non-Destructive Examination (NDE) processes and weld mapping.
- Previous experience supporting client quality audits.
