Job Summary

We are seeking a motivated and organized Administrative Assistant/Receptionist to join our team! This role is vital in creating a positive environment for visitors and providing essential administrative support to ensure smooth daily operations. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a proactive attitude. You will be the first point of contact for clients, vendors, and staff, handling a variety of clerical tasks with enthusiasm and professionalism. This paid position offers an exciting opportunity to develop your administrative expertise in a fast-paced, supportive environment.

Duties

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly at the front desk
Manage multi-line phone systems, screen calls, and direct inquiries efficiently using professional phone etiquette
Perform invoicing, billing and data entry tasks accurately
Handle clerical duties such as filing, photocopying, scanning documents, and maintaining organized records
Support bookkeeping activities including invoicing, billing, and basic financial record keeping with QuickBooks or similar tool

Requirements

Office experience and/or clerical degree with strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills
Experience with data entry, filing systems, and clerical tasks in a professional setting
Excellent customer service skills with a friendly demeanor and effective communication abilities
Familiarity with multi-line phone systems and phone etiquette standards
Previous experience in fast paced environments is a plus; knowledge of front desk procedures highly desirable
Ability to handle confidential information discreetly and maintain professionalism at all times
Strong typing skills along with proofreading abilities to ensure accuracy in all correspondence
Basic bookkeeping knowledge including familiarity with QuickBooks or similar accounting software is preferred
