Assistant Dental Office Manager

LightHouse Dental | London, Ontario

LightHouse Dental is looking for an experienced, organized, and patient focused Assistant Dental Office Manager to join our team.

This is a hands on leadership role for someone who enjoys working with patients, supporting a busy dental team, and helping keep the day to day operations of the office running smoothly. The ideal candidate has dental office experience, strong communication skills, and is comfortable taking responsibility while working closely with the Office Manager and clinical team.

Responsibilities

Assist the Office Manager with the daily operations of the dental practice
Help lead, support, and coordinate the front desk team
Answer phones and assist patients with scheduling and general questions
Schedule and confirm patient appointments while helping maintain a productive schedule
Check patients in and out and provide a welcoming patient experience
Review treatment plans, estimates, and financial arrangements with patients
Process patient payments and maintain accurate account information
Submit dental insurance claims and predeterminations
Follow up on outstanding insurance claims and patient balances
Verify insurance coverage and assist patients with insurance questions
Help manage recalls and unscheduled treatment
Coordinate communication between the front desk, dentists, hygienists, and dental assistants
Assist with resolving patient concerns professionally and respectfully
Support staff scheduling, training, and onboarding when needed
Help ensure office policies and procedures are consistently followed
Monitor administrative tasks and help identify opportunities to improve office efficiency
Assist the Office Manager with additional administrative and operational responsibilities as required

Qualifications

Previous dental office experience is required
Previous dental administration, treatment coordination, or dental management experience is strongly preferred
Strong understanding of dental terminology, insurance claims, and treatment plans
Excellent organizational and multitasking skills
Strong communication and customer service skills
Comfortable discussing treatment costs and financial arrangements with patients
Professional, dependable, and able to handle confidential information appropriately
Able to work well independently while also being part of a team
Leadership experience or the ability to confidently support and guide other team members
Experience with dental practice management software is an asset
