The base salary will be $66,350 - $94,700 per annum. Starting salary will be aligned with the successful candidate’s experience, skills, and demonstrated qualifications.

Please note, this is a temporary full-time contract opportunity covering a secondment with an expected end date of October 31, 2027.

About Us

Campus Events Office (CE Office) centrally supports and coordinates events on campus to facilitate ease of planning, ensure safety and security and mitigate risk. The CE Office oversees scheduling, operational planning, service delivery and risk assessments/requirements of non-academic activities on campus. The CE Office acts as the central campus resource for departments and student groups organizing their events in both general use and department-controlled spaces. They are the first point of contact for all external groups, agencies and associations interested in organizing events on campus, including feature films, commercials, stills and any other digital media broadcast.

Responsibilities

Reporting to the Associate Vice President, Housing & Ancillary Services, the Campus Events Specialist will manage and coordinate events across campus at Western. The role will oversee the scheduling of approximately 250 event spaces for extracurricular use, collaborating with various stakeholders to ensure events are carried out according to the University’s standards and best practices and that risks related to events are mitigated effectively. The Campus Events Specialist will act as a central resource for the electronic booking system used for all event booking transactions, task automation and workflow auditing. They will manage resolution of scheduling disputes and issues and will develop reports to analyze classroom utilization, scheduling issues, identify improvements, evaluate alternate solutions, and make final recommendations to the AVP, Housing & Ancillary Services. The Campus Events Specialist will also create and maintain a digital repository related to the event booking software that includes standard operating procedures, policies and procedures and best practices.

Qualifications

Education:

Undergraduate Degree in Communications, Marketing, Public Relations, Event Management, or related field
Completion of, or working towards, Project Management Professional designation
Project Management Professional designation preferred

Experience:

4 years of experience coordinating events and projects in an academic environment
Previous experience in communications, executive administration, customer service or event management roles preferred

Knowledge, Skills & Abilities:

Knowledge of general office procedures and with best practices for assessing, developing and implementing new business processes and procedures
Ability to contribute to strategies to control risks faced by the organization as a result of leveraging information technology systems
Critical thinking and discernment skills to assess, analyze exposures and make recommendations to decrease risk
In-depth knowledge of best practices for handling sensitive and confidential information and with best practices in records maintenance
Familiarity with project management methodologies
Communication skills to clearly express ideas in an objective manner, write clearly and adapt communication style to suit the situation and audience
Client service skills with an ability to apply tact and diplomacy when dealing with sensitive issues and a range of personalities, motives and interests
Detail-oriented with an ability to function and process information with high levels of accuracy
Ability to perform duties in a professional, collegial and courteous manner, while producing high quality work outcomes
Commitment to ongoing professional development with a desire to take on new challenges
Ability to remain highly motivated, resilient, innovative and collaborative when faced with challenges
Intermediate computer skills in Microsoft Office Suite, previous experience with event management software preferred
Possess a reputation for resourcefulness with a strong sense of accountability and initiative
Influential interpersonal skills that build positive and strong relationships at all levels of the organization
Organizational skills to manage multiple assignments that are accurate and thorough, sometimes of a complex nature or involving competing priorities
Problem solving skills with a sense of urgency in resolving issues and getting tasks completed
Ability to work independently and effectively as a member of the team to achieve department goals
Familiarity with University policies and procedures preferred
