- Determine guest’s reservation status to determine length of stay.
- Registering guests into hotel, assigning rooms, and accommodating special requests when possible.
- Registering guests out of the hotel, asking if their stay was satisfactory, and asking to book future reservations.
- Creating reservations for guests.
- Ensure that they understand how to process and post payments with cash, debit, credit, and deposit procedures.
- Making sure that their shift is balanced at opening & closing.
- Knowing different room types, room locations, and room setup according to the demands of the guest.
- To be the initial sales contact for the hotel and to use effect sales techniques in order to secure reservations and walk in guests. Some important sales procedures include and are not limited to: Offer options and alternatives for room choices depending on guest’s market segment (corporate, leisure, etc.), signing up eligible rate reservations for choice privileges, recognizing gold, platinum, and diamond elite members, rewarding diamond elite members whenever possible, collecting as many guest emails as possible to ensure surveys are sent out to each guest and if guest would want electronic copy of receipt (communicate to night audit), when making reservations asking each guest for email and send confirmation.
- Communicating with the housekeeping department to advise of stayovers, late checkouts, early checkouts, day use rooms, and to have a clean room list for the arriving guests of the day.
- Knowing all procedures of the hotel, including: Cancellations, refusal of service, and any other advised by management.
- Must be using proper telephone answering techniques (ex. 3 ring rule).
- Must be able to attend departmental meetings and encouraged to give feedback and suggestions.
- Adhere to and obey all uniform standards (nametag, etc.)
- Collecting license plate #’s and getting valid ID (driver’s license/passport) for cash or debit paying guests.
- Report all missing or personal items found in vacant rooms (“lost & found”)
- Responsible for cleanup of the lobby area when possible. This includes: dusting, mopping, sweeping, vacuuming, cleaning windows, taking out garbage, making coffee, and keeping coffee area clean.
- Must acknowledge that if necessary from time to time, they may be responsible to turnover (clean) a checked out room. This would be done during sold out nights and when two people would be on the desk at the same time. Would also be responsible for taking items to guest rooms (towels, sheets, any other guest supplies), and may have to change these items in the room.
- Ensure that any information about the shift, balancing items, hotel incidents, etc. is clearly communicated to all other GSR’s and/or to hotel management, and add these comments in the log book.
- Coordinating with the maintenance and housekeeping department of issues with guest rooms, lobby area, and any common area.
- Ensuring that a safe environment for work is created for themselves and their co-workers, and to know all emergency procedures.
- Reporting and unusual activity to the management.
- Understands that business demand may change their regularly scheduled shifts from one shift to another or increasing and decreasing hours.
- Upkeep/monitoring of all common areas.
