Full job description

Doro Inc. is seeking a reliable, organized, and detail-oriented Office & Operations Administrator to support daily office operations, customer service, order processing, QuickBooks administration, shipping/logistics, and inventory activities.

This is a full-time, permanent position for someone who enjoys a fast-paced environment, takes ownership of their work, and can manage multiple responsibilities with accuracy and professionalism.

Key Responsibilities

Answer and direct incoming phone calls
Provide administrative support to office staff
Create customer estimates, purchase orders, invoices, and bills in QuickBooks Online
Process customer orders accurately and efficiently
Coordinate small parcel shipments and freight deliveries
Obtain and compare shipping quotes when required
Communicate professionally with customers, vendors, suppliers, and carriers
Maintain accurate records in QuickBooks Online
Assist with expense entry and basic account administration
Support inventory tracking and shipping/receiving activities
Follow up on orders, shipments, and vendor requests
Perform general office and administrative duties as needed

Required Qualifications

Experience using basic QuickBooks Online
Strong Microsoft Office skills, including Excel, Word, and Outlook
Clear and professional spoken and written English
Excellent organizational and time management skills
Strong attention to detail and accuracy
Ability to work independently and manage multiple priorities
Professional communication and customer service skills
Reliable, punctual, and dependable

Preferred Experience

Order processing and customer service
Shipping, logistics, or freight coordination
Inventory management
Fast-paced office or operations environment
Credit card reconciliation and expense entry
Canva experience (an asset)

Physical Requirements

Ability to lift up to 30 lbs
Comfortable using stairs between office and warehouse areas

Schedule:

Monday to Thursday: 9:00 AM – 4:30 PM
Friday: 9:00 AM – 4:00 PM
No evenings or weekends
