Job Overview
Cana Packing is a growing food manufacturing company based in Dartmouth, Nova Scotia. We are looking for a highly flexible, motivated, and organized Executive Support Specialist to join our team.
This is not a traditional desk based administrative role. The successful candidate will work closely with management and provide support across virtually every area of the company, including Sales, Purchasing, Logistics, Research & Development, Administration, Facilities Management, and Operations.
We are looking for someone who is willing to learn, comfortable taking on new challenges, and able to shift priorities as the needs of the business change. Some days will involve customer follow up and spreadsheets, while others may involve sourcing materials, comparing freight rates, helping coordinate service work, assisting with product testing, or supporting activities on the production floor.
The ideal candidate is resourceful, dependable, organized, and willing to take ownership of tasks from start to finish.
Key Responsibilities
Sales & Business Development Support
- Assist with sales follow up and communication with existing and prospective customers.
- Conduct lead generation and research potential customers and business opportunities.
- Help maintain customer records, contact information, pricing, and sales documentation.
- Coordinate customer sample requests and shipments.
- Assist with preparing presentations, product information, quotes, and other sales materials.
- Track open opportunities and help ensure follow up items are completed.
Purchasing & Material Sourcing
- Assist with sourcing ingredients, packaging materials, equipment, supplies, and other items required by the business.
- Contact suppliers for pricing, availability, minimum order quantities, and lead times.
- Compare supplier quotations and purchasing options.
- Assist with purchase orders and follow up on outstanding orders.
- Research alternative suppliers when required.
- Help maintain organized purchasing and supplier records.
Logistics & Shipping
- Obtain and compare freight and courier rates.
- Coordinate shipments and communicate with carriers regarding pickups and deliveries.
- Track incoming and outgoing shipments.
- Assist with shipping documentation and delivery scheduling.
- Research transportation options to help improve freight costs and service.
Quality & R&D Support
- Prepare and complete Certificates of Analysis (COAs) for customer orders.
- Assist with maintaining product specifications and quality documentation.
- Support the R&D team with product trials, sample preparation, bake testing, and recording results when required.
- Help organize ingredients, samples, specifications, and documentation for new product development projects.
- Assist with sending product samples to customers and tracking feedback.
Operations Support
- Assist management and production staff with day to day operational requirements.
- Help coordinate tasks between Sales, Purchasing, Quality, R&D, Production, and Warehouse teams.
- Assist with inventory related projects and locating materials or supplies when required.
- Support special projects and operational improvements as they arise.
Facilities & Service Coordination
- Obtain quotes for repairs, maintenance, equipment servicing, and other facility requirements.
- Coordinate with contractors and service providers.
- Assist with sourcing maintenance and facility supplies.
- Help maintain an organized, clean, and professional facility.
- Perform light facility cleaning and organization when required.
- Assist management with facility related projects and general upkeep.
Administrative Support
- Prepare spreadsheets, documents, reports, presentations, and internal forms.
- Maintain organized electronic and physical filing systems.
- Assist with data entry and record keeping.
- Take meeting notes and track action items.
- Help coordinate meetings, customer visits, appointments, and facility tours.
- Assist management with various administrative and research tasks.
Qualifications
- Strong organizational skills and attention to detail.
- Comfortable working in a fast paced environment where priorities can change throughout the day.
- Strong written and verbal communication skills.
- Proficiency with Microsoft 365, particularly Outlook, Word, Excel, and PowerPoint.
- Strong computer skills and the ability to learn new software and systems.
- Comfortable communicating with customers, suppliers, contractors, and transportation providers.
- Ability to research information, compare options, and present findings clearly.
- Strong problem solving skills and willingness to take initiative.
- Ability to work independently while also supporting multiple departments.
- Willingness to perform both office based and hands on operational tasks.
- Valid driver's licence is considered an asset.
- Experience in food manufacturing, logistics, purchasing, sales support, administration, or operations is considered an asset, but we are willing to train the right person.

Pay: $18.00-$22.00 per hour
