Banquet Event Coordinator – Opal Palace

Location: Oakville, Ontario
Employment Type: Full-Time, On-Site
Compensation: $3,500–$4,000 per month, based on experience

About Opal Palace

Opal Palace is a luxury banquet venue in Oakville specializing in weddings, engagements, corporate functions, cultural celebrations, private parties, and other premium events.

We are seeking an experienced, highly organized, and client-focused Banquet Event Coordinator to join our growing team. The successful candidate will guide clients through the complete event-planning process—from the initial inquiry and venue tour through contract preparation, final coordination, and event execution.

Key Responsibilities

Respond professionally and promptly to banquet inquiries received by telephone, email, social media, and in person.
Conduct venue tours and confidently present banquet packages, menus, layouts, pricing, and available services.
Assist clients in planning weddings, engagements, corporate events, cultural celebrations, and private functions.
Prepare accurate proposals, contracts, invoices, payment schedules, booking documents, and client correspondence.
Maintain consistent follow-up with prospective and confirmed clients.
Review and document all event requirements, including guest counts, menus, timelines, floor plans, décor, entertainment, audiovisual needs, and special requests.
Coordinate event details with management, the culinary and service teams, decorators, entertainers, and external vendors.
Prepare complete and accurate event summaries for the operations team before every function.
Provide on-site coordination to ensure each event is executed smoothly, professionally, and according to the confirmed plan.
Maintain accurate booking calendars, client records, event files, and internal planning documents.
Build strong client relationships and provide exceptional service from the initial inquiry through post-event follow-up.
Support banquet sales and promotional initiatives when required.
Identify potential challenges in advance and work with management to implement appropriate solutions.

Qualifications

A minimum of three years of experience in banquet coordination, event planning, venue sales, hospitality, or a closely related position.
Fluent spoken and written English is required.
Fluency in Arabic is strongly preferred.
Additional languages are considered an asset.
Experience preparing event proposals, contracts, invoices, banquet event orders, and other client documents.
Strong communication, presentation, negotiation, organization, and follow-up skills.
Excellent attention to detail and the ability to manage multiple events and client inquiries simultaneously.
Professional appearance and a polished, client-focused approach.
Proficiency with email, Microsoft Office, spreadsheets, digital calendars, and event-management or customer relationship systems.
Knowledge of Middle Eastern, South Asian, multicultural, wedding, and corporate events is considered a strong asset.
Ability to remain composed and solution-oriented in a fast-paced banquet environment.
Must be dependable, collaborative, and available to work evenings, weekends, and holidays according to the event schedule.
