Harmony Health Integrative Centre is seeking a part-time Patient Coordinator to join our team of passionate and dedicated practitioners. Located in Okotoks, we are committed to providing exceptional patient care through a range of integrative health services, including Naturopathic Medicine, Acupuncture, Traditional Chinese Medicine, Manual Osteopathy, and Massage Therapy.

As a Patient Coordinator, you will play an essential role in creating a welcoming and efficient experience for our patients. We are proud to foster a supportive, collaborative workplace where exceptional patient care and teamwork are at the heart of everything we do. We are looking for a friendly, organized professional who enjoys working with people and can provide exceptional reception and administrative support. This role serves as a liaison between patients and practitioners and helps ensure the smooth day-to-day operation of the clinic. Responsibilities include welcoming and checking in patients, managing appointments and office operations, assisting practitioners with administrative tasks, and supporting the overall needs of the clinic.

Key Responsibilities

Greet and check in patients, guiding them through their office visit while creating a welcoming experience.
Manage and maintain the clinic schedule, book appointments based on practitioners' availability, and confirm upcoming appointments.
Process patient payments and submit insurance claims using the clinic's electronic medical records (EMR) system.
Collect and maintain accurate patient information while ensuring the confidentiality and privacy of patient and clinic records.
Monitor and respond to email correspondence in a professional and timely manner.
Answer incoming phone calls and respond to patient inquiries with professionalism and compassion.
Liaise and collaborate with other healthcare providers on behalf of the clinic and patients as needed.
Foster positive relationships with patients and team members while upholding the clinic's policies, values, and standards of care.
Contribute to a collaborative team environment and support additional responsibilities as needed.
Communicate effectively with practitioners, team members, and patients using strong verbal and written communication skills.
Work independently with minimal supervision while maintaining exceptional patient service as the highest priority.
Restock treatment rooms and office supplies, and report inventory shortages or maintenance concerns to management.
Assist with opening and closing procedures for the clinic.
Ensure linens are washed, folded, and treatment rooms are stocked throughout the day.
Maintain a clean, organized, and welcoming reception and clinic environment, including daily cleaning and sanitizing of equipment and common areas.

Qualifications

Friendly, personable, and professional, with the ability to interact with patients using courtesy, empathy, and tact.
Passionate about delivering exceptional patient care and building positive, lasting patient relationships.
Strong customer service skills, preferably in a healthcare, medical, or wellness setting.
Excellent organizational, time management, and multitasking skills, with the ability to prioritize competing responsibilities in a fast-paced environment.
Strong problem-solving skills and the ability to think proactively and independently.
Self-motivated and able to work with minimal supervision while taking initiative when appropriate.
Strong verbal and written communication skills, including a professional and courteous telephone manner.
Proficient with computers and technology, including accurate typing skills and the ability to quickly learn electronic medical records (EMR) and medical insurance billing software.
Exceptional attention to detail and a commitment to accuracy in all aspects of the role.
Able to follow direction while completing tasks efficiently, thoroughly, and consistently.
Warm, caring, and approachable, with the ability to create a welcoming environment for patients and visitors.
Familiarity with Naturopathic Medicine is a strong asset.
Positive attitude, strong work ethic, and the ability to contribute effectively within a collaborative team environment.

Education and Experience

High school diploma or equivalent required.
Diploma or certificate in Medical Office Administration, Medical Office Assistant, or a related field is preferred.
Previous experience in a medical office, healthcare clinic, or similar administrative/customer service role is considered an asset.
Experience using electronic medical records (EMR) and medical insurance billing software is an asset.

Job Type: Part-time, Permanent

Salary: $18.00–$22.00 per hour, based on experience

Schedule:

Approximately 15.5 hours per week

Monday: 2:30 p.m. – 6:00 p.m.
Tuesday: 2:30 p.m. – 6:00 p.m.
Friday: 10:00 a.m. – 6:00 p.m.
