The MIST Trial is a multi-centre, prospective, randomized controlled trial comparing quality of life and recovery after minimally invasive coronary surgery (MICS CABG) versus sternotomy CABG. Coordinated by the University of Ottawa Heart Institute and funded by Medtronic Inc., the trial is active at sites across Canada, the United States, Germany, India, China, Japan, Taiwan, and Singapore, with a target enrollment of 176 patients.
We are seeking a motivated, detail-oriented individual to support this part-time role. Excellent communication and organizational skills are critical to this position. Prior experience with multi-centre trials and international site coordination would be a strong asset.
The successful candidate will work closely with the research team at the University of Ottawa Heart Institute, Division of Cardiac Surgery, and will report to the division Clinical Research Manager and to the MIST Trial Principal Investigator, Dr. Marc Ruel.

Responsible for overall management of the MIST Trial multi-centre infrastructure, including communication with international partner sites, budgets and finance, contracts, protocol amendments, and interactions with REB and legal.

Overseeing regulatory compliance across all sites, including REB submissions, protocol amendments, and annual renewals.

Maintaining the Trial Master File and ensuring essential documents are complete and current at each site.

Tracking site level budgets, invoicing, and payment milestones across all participating sites.

Organizing and attending Executive Committee and Data Safety Monitoring Board meetings, documenting and tracking action items.

Overseeing adverse event and safety reporting and liaising with the DSMB on safety concerns.

Overseeing the study database, including data entry quality, query resolution, data cleaning, and coordination with the data management team.

Training and onboarding site coordinators on protocol requirements and study procedures.

Using project management tools to track enrollment progress and site performance and flagging underperforming sites.

Preparing progress reports for the sponsor and funder.

Creation and dissemination of a monthly newsletter.

Supporting study close-out activities at the end of the trial.

Supporting preparation of end of study reports and publications, including data summaries and coordination of author input.

Minimum of 3 years of experience in a clinical research setting, including trial recruitment and operations.

Bachelor of Science (BSc) in a health-related field or equivalent work experience.

Evidence of training certification in Tri-Council Policy Statement-2 (TCPS-2) and the International Council on Harmonization – Good Clinical Practice Guidelines (ICH-GCP).

Evidence of training in Food and Drug Regulations, Division 5, and/or Device Regulations, as applicable.

Strong organizational and time-management skills to manage competing priorities.

Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint).
- Previous experience with EPIC EMR system.

High personal motivation, self-management, and detail-orientation; ability to take responsibility in meeting deadlines and making progress without direct supervision.
- Capacity and willing to learn new software, research methods, and work routines quickly, flexibility in responding to new research opportunities as they arise.
- Motivation to engage in and manage a wide range of intellectual and physical work, ranging from basic data entry to active screening and recruitment of study subjects as appropriate.

Primarily on-site position. A hybrid arrangement may be possible if operational needs allow and with manager approval.
