Quality Assurance and Project Lead
Introduction
Participation Lodge Grey Bruce (PLGB) is a social service agency in the Grey Bruce area providing a range of supported living programs and services to individuals with developmental disabilities and acquired brain injury.
These offerings are in the form of supportive care for people living in our main group facility (the Lodge); and for those with greater independence residing in their own home or apartment in the surrounding communities we serve.
Founded in 1974, the organization was the beneficiary early on of the donation of a 25-acre property by LutheRanch, a non-profit charitable corporation of the Lutheran Church. The physical building known as the Lodge opened its doors on this property in 1982 and the agency has grown considerably in scope since.
PLGB provides Assisted Living Services and/or Adult Developmental Supports and Services to individuals who live at the Lodge and residing in community settings. The organization operates under the auspices of and is funded by the Ontario Ministry of Health (OH) and the Ontario Ministry of Children, Community and Social Services (MCCSS).

Current and Future States
PLGB is at an exciting and key juncture in its history. Our Agency is in transition from an institutional-type long-term care model to a person-centred model of supports and services, promoting greater choices for people and assisting them to develop and maintain independence. This transition is aligned to MCCSS’ strategic direction, a multi-year plan to enable people with developmental disabilities to live their best lives. It is also in keeping with OH policy and funding for PLGB as a developmental services agency, not a long-term care operation with a medical model of care.
The significance of this organization change cannot be over-stated. It involves a rethink and transformation of all aspects of our operations and approach to people we support; the development of external partnerships with medical and allied health providers and other key stakeholders; and establishing a new set of key performance indicators, measurement and reporting systems aligned to a new person-directed model of support.
PLGB is in the process of developing a new strategic plan to address these imperatives, leverage our strengths, identify gaps in capability, and define priorities going forward. This is an exciting time to join our agency!
Job Summary
The Quality Assurance and Project Lead is an individual contributor role is responsible for supporting organizational excellence through compliance oversight, quality assurance processes, administration, and project coordination and implementation support and monitoring operational and documentation standards.
Reporting directly to the CEO, this position works collaboratively with the Director of Programs, Manager of Supports and Services, and other leadership staff, supporting accountability systems, ministry compliance readiness, continuous improvement, and the successful implementation of organizational projects and system changes such as software rollouts. The QA & Project Lead serves as a key internal resource for compliance guidance, audit coordination, and organizational metrics.
Key Responsibilities
Quality Assurance & Compliance
- Coordinate and conduct internal file audits and documentation reviews across programs and services.
- Monitor organizational compliance with policies, Ministry of Health (MOH) and Ministry of Children, Community and Social Services (MCCSS) requirements, and operational standards.
- Develop and maintain audit tools, tracking systems, and compliance checklists.
- Identify trends, gaps, and areas requiring corrective action or quality improvement.
- Lead preparation for ministry reviews, inspections, and compliance readiness activities.
- Support leadership teams with policy implementation and the communication of quality improvement requirements.
- Track and report on follow-up actions related to audit findings and compliance obligations.
- Support managers in ensuring incident documentation meets organizational and regulatory standards.
Project Leadership & Change Implementation
- Lead and support organizational projects and operational improvement initiatives as assigned by the CEO.
- Coordinate the implementation of new software systems, platforms, and process changes.
- Develop project timelines, deliverables, implementation plans, training materials, and rollout communication.
- Monitor project progress and proactively identify risks, barriers, and solutions.
- Support change management activities and staff orientation to new systems and processes.
Q/A & Project Documentation and Reporting
- Maintain documentation and tracking systems related to QA and project activities.
- Provide summary reporting on audit findings, compliance status, and project outcomes.
Collaboration & Organizational Support
- Work collaboratively with the CEO, Director of Programs, Manager of Supports and Services, HR, leadership team, managers and frontline staff.
- Support training and education related to compliance requirements, documentation standards, and new systems
- Participate in committees, planning initiatives, and organizational improvement efforts as required
Qualifications
Education & Training
- Postsecondary education in Social Services, Business Administration, Healthcare Administration, Quality Management, Project Management, or a related field.
Skills & Experience
- Minimum 3 years of experience in quality assurance, compliance, administration, project coordination, or a related role
- Experience conducting audits, compliance reviews, or quality improvement activities preferred
- Familiarity with Ministry of Health and/or MCCSS funded service environments is a strong asset
- Strong organizational and analytical skills with high attention to detail
- Demonstrated experience coordinating projects and managing multiple timelines
- Strong written communication and documentation skills
- Proficiency with Microsoft Office (including Excel and SharePoint), databases, and organizational software systems
- Ability to work independently, manage competing priorities, and exercise sound professional judgment.

Working Hours, Environment and Working Conditions
- Primarily office-based with occasional program site visits required for audit and compliance activities
- May require participation in project activities or organizational initiatives outside of regular business hours during implementation periods

- Ability to walk, stand, kneel, crouch, stoop, and reach above head
- Residential stair climbing
- Ability to lift up to 18 kg
- Ability to support adult body weights in activities of standing, walking, vehicle entry
