ROLE DESCRIPTION
The Mechanical & HVAC Estimator is responsible for preparing accurate and competitive cost estimates for mechanical construction projects, including HVAC, plumbing, piping, sheet metal, and related building systems. The Estimator reviews project drawings and specifications, performs detailed quantity take-offs, obtains supplier and subcontractor quotations, and prepares complete tender submissions. This position works closely with project managers, operations, clients, consultants, and vendors to ensure projects are accurately estimated and successfully transitioned from bidding to execution.
KEY RESPONSIBILITIES
Estimating and Tender Preparation
- Review project drawings, specifications, schedules, and tender documents to determine project requirements.
- Prepare accurate quantity take-offs for HVAC, plumbing, piping, sheet metal, and mechanical systems.
- Develop complete labour, material, equipment, subcontractor, and indirect cost estimates.
- Solicit, evaluate, and negotiate pricing from suppliers and subcontractors.
- Analyze project risks, constructability, scheduling requirements, and project constraints.
- Prepare detailed bid summaries and tender submission packages.
- Ensure all bids are completed accurately and submitted within required deadlines.
- Maintain current labour units, material pricing, and estimating databases.
- Participate in bid review meetings and provide recommendations prior to submission.
Project Handover and Cost Support
- Participate in project turnover meetings with Project Managers and Operations teams.
- Provide estimating support throughout project execution, including pricing of change orders and extras.
- Assist with budget reviews, cost forecasting, and value engineering opportunities.
- Review project costs upon completion to improve future estimating accuracy.
- Support procurement planning by identifying long-lead materials and equipment.
Client and Vendor Relations
- Build and maintain positive working relationships with clients, consultants, suppliers, and subcontractors.
- Attend site visits, pre-bid meetings, and project walkthroughs.
- Respond to client inquiries regarding pricing, scope clarifications, and value engineering alternatives.
- Develop and maintain a strong network of supplier and subcontractor contacts.
Administration
- Maintain organized estimating files and project documentation.
- Update estimating software, pricing databases, and historical project records.
- Ensure compliance with company procedures, contractual requirements, and tender specifications.
- Prepare reports and documentation as required by management.
Miscellaneous
PERSON SPECIFICS & QUALIFICATIONS
Education
- Diploma in Mechanical Engineering, Mechanical Engineering Technology, Construction Engineering Technology, Building Systems Technology, or a related discipline preferred, OR
Experience
- Minimum 1-3 years of experience estimating mechanical construction projects.
- Experience estimating commercial, industrial, and institutional HVAC and mechanical systems is preferred.
- Experience working for a mechanical contractor is considered a strong asset.
Knowledge and Skills
- Thorough understanding of HVAC, plumbing, piping, sheet metal, and mechanical building systems.
- Ability to interpret construction drawings, specifications, and contract documents.
- Strong knowledge of mechanical construction methods and industry standards.
- Proficiency with estimating software and Microsoft Office Suite, particularly Excel.
- Experience with project management or ERP software is considered an asset.
- Journeyperson Certificate in related trade in combination with industry experience.
Work Environment
- This is a fulltime, in office position without the possibility of being remote.
- Travel to various work sites as required, company vehicle or equivalent provided.
